Long established and well respected seven-doctor Santa Rosa comprehensive eye care practice is offering a full time front desk/call center position in our state-of-the-art facility on Cleveland Avenue. This individual is responsible for answering the telephone in a courteous and professional manner, directing calls to the appropriate personnel, patient check in and check out, scheduling appointments, and collecting patient payments. The right candidate will possess the following experience and qualities:

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
1. Telephones
- Answers telephone calls promptly, courteously, and in accord with practice scripting
- Addresses the caller’s concern.
- Directs all calls to appropriate personnel.
- Identifies emergency calls and schedules appropriately.
- Process or make appointment confirmation calls.
2. Patient Experience
- Provide a warm welcome to patients as they check in to the office
- Schedules, reschedules, and cancels appointments as necessary.
- Scheduling template set up.
- Answers the phone in a friendly and helpful manner.
- Assists patients as they check out, i.e., next appointment, completes superbill, accepts payment, etc.
- Reviews, copies, and distributes correspondence.
- Balances cash drawer daily.
- Maintains proper opening and closing procedures.
- Provides support services to patients and medical staff.
- Greets and registers patients in a prompt, pleasant and helpful manner. Verifies necessary information, i.e., patient address, phone number, insurance.
- Keeps inventory of clerical supplies and re-orders as necessary.
- Clean and straightens up waiting area
3. Day-End Closeout
- Completes necessary procedures to ensure proper close and balance of daily activities.
- Verifies with assigned co-worker
- Prepared deposit
4. General Data Entry
- Various data entry and data cleanup projects
- Scanning information into systems
- Assignment of appropriate information attached to patient accounts
- Accurate capture of demographic information.
5. Other
- Processing recalls
- Support clinic team with periodic diagnostic testing
- Bring forth process improvement ideas to make team more efficient
- Communications with billing team to ensure clean billing processes
Motor, Sensory, and physical requirements
- Must be able to operate modern office equipment (computer, phone, EPM/EHR software systems, fax, and copier).
- Must be able to circulate throughout office(s) to direct patients, have conversations with patients and family members: Speak and hear clearly.
- Job requires both extended times sitting or standing in front of a computer. In addition, there is regular up/down from chair to walk throughout offices. Majority of the time is spent sitting.
- Minimal lifting requirements of office equipment and supplies (up to 30 pounds).

Pay: $21.00 - $24.00 per hour
