Commercial Office Property Administrator
POSITION SUMMARY:
The Commercial Property Administrator position provides first-class property management services and assists the Property Management team with day-to-day responsibilities including office administration, Lease Administration, Accounts Receivable & Accounts Payable, customer service and enhancing tenant relations.
ESSENTIAL FUNCTIONS:
- Administrative duties.
- Timely and accurate processing of Accounts Payable and Accounts Receivable.
- Lease Administration
- Working with other team members in utilizing the building work order system.
- Proficient with Microsoft Excel.
- Property scheduling and communication with tenants and vendors.
RESPONSIBILITIES:
- Lease Administration – maintain lease files electronically and physically. Abstract new leases or amendments for input into MRI. Track receipt of security deposits and first month’s rent if required. Track payment of lease commissions to ensure they are paid in a timely manner.
- Accounts Receivable duties – Responsible for generating monthly rent statements and miscellaneous billings to tenants. Enter all receipts into MRI accounting system. Monitor receivables throughout the month to ensure that payments are made by tenants in a timely fashion. Make recommendations to the Property Manager when collection action should be taken or late fees need to be applied.
- Accounts Payable duties – receive vendor invoices either by mail or email.
- Reviews each invoice for accuracy, code the invoice according to the current budget, obtains proper approval from engineering and/or property manager. Invoices are then scanned and emailed to accounting for input.
- Answer telephone and screen calls for appropriate personnel; write up messages and deliver messages to personnel or voice mail. Greet guests and notify personnel of incoming visitors. Accept deliveries/packages.
- Utilize building work order system for tracking tenant requests, certificates of insurance for tenants and vendors, and maintain calendar for the building conference center.
- Receive work order requests by phone or in person; enter work order in work order system and radio engineer if urgent.
- Conduct regular inspection of vacant suites, common areas and property to insure adherence to property standards.
- Meet with janitorial vendor representative regarding any tenant issues that have been reported, and frequently participate in janitorial visits with tenants. Prepare monthly janitorial cleanable square footage report to submit to vendor for billing purposes.
- Schedule building activity including move-ins / move outs; verify insurance.
- Schedule and oversee tenant events periodically throughout the year.

- Proficient with Microsoft Excel and Word; IMPAK work order system; MRI experience a plus
- Typing skills 30+ wpm
- Previous experience in Commercial Property Management or a similar/related industry, a plus
- Previous administrative or office management experience, a plus
