We're currently seeking a Patient Care Coordinator to join our growing team. This role is best suited for an individual with the following qualities:
- Someone who is able to communicate effectively, both on the phone and in writing. Must be articulate, friendly, and professional.
- Someone with familiarity with the treatments, products, and trends in the beauty and wellness industry.
- The ability to efficiently handle appointment scheduling, manage emails, and keep records.
- A strong focus on providing exceptional customer service is a must. This includes being attentive, courteous, and proactive in addressing clients' needs, ensuring they have a pleasant experience at the spa.
- Able to handle unexpected situations or client concerns with calmness and efficiency.

Primary Responsibilities:
Client Interaction and Care:
- Serve as the first point of contact for clients, greeting them warmly and professionally.
- Schedule appointments and follow-ups, ensuring an efficient and organized calendar.
- Provide detailed information about treatments, procedures, and products offered at the spa.
- Address client inquiries and concerns with empathy and professionalism.
Coordination and Administration:
- Coordinate patient flow to ensure timely service and optimal client experience.
- Maintain accurate and confidential patient records, including medical histories and treatment plans.
- Assist in managing client files and ensuring all necessary paperwork is complete and up-to-date.
Communication and Collaboration:
- Collaborate with medical staff to prepare for client appointments and discuss care plans.
- Communicate effectively with team members to ensure seamless client experiences.
- Contribute to the continuous improvement of patient care services.
Operational Support:
- Assist in managing inventory of supplies and products, ensuring availability for treatments.
- Help maintain a clean, safe, and welcoming spa environment.
- Support marketing efforts by providing information on current promotions and services.
Client Follow-Up and Feedback:
- Conduct post-treatment follow-ups to assess client satisfaction and address any concerns.
- Collect and manage feedback to help improve service quality and client satisfaction.
Qualifications:
- Prior experience in customer service, particularly in a healthcare or spa setting
- Strong knowledge and/or interest of aesthetic procedures, skincare, and the latest industry trends
- Excellent communication and interpersonal skills
- A passion for wellness, beauty, and helping others achieve their goals
