We are seeking an organized, talented, and dynamic individual to fill our Purchasing Agent/Interior Design Assistant position. For this role, the ideal candidate will have at least 2 years of purchasing/interior design experience.
Our exciting and varied projects include multifamily residential, senior living, and hospitality. Our clients, the top developers in the country, look to us for a broad range of design styles — from historical renovations to contemporary design.
*This is a fully in-office position Monday – Friday from 9am to 6pm.
Responsibilities:
- Using FF&E specifications provided by the design team, obtain quotes from selected suppliers for FF&E
- Analyze costs and identify opportunities for cost savings or value engineering
- Meet with the design team to discuss potential saving and/or concerns with budget and timeline
- Work closely with designers to re-select materials, finishes, furnishings, and equipment that meet design requirements and budget constraints if required
- Coordinate samples, mock-ups, and prototypes for review and approval
- Finalize product selections and specifications for procurement
- Negotiate contracts, prices, and terms with selected vendors to ensure favorable terms for the project
- Finalize purchase agreements, including payment terms, delivery schedules, and warranty terms
- Coordinate setting up new vendors
- Monitor order status and track delivery schedules to ensure timely arrival
- Address any issues or delays with orders, such as backorders or product shortages
- Create logs to follow-up on samples, cuttings, shop drawings, etc
- Coordinate shipping and logistics for materials and products, including freight forwarding and customs clearance if applicable
- Track shipments and coordinate delivery schedules to project sites
- Communicate with contractors/interior designers and installation teams to ensure readiness for delivery and installation
- Maintain accurate records of all procurement-related activities, including contracts, purchase orders, invoices, and correspondence
- Document product specifications, warranties, and maintenance requirements
- Generate reports on procurement status, including budget spending, delivery performance, and issues resolution
- Communicate regularly with project stakeholders, including designers, clients, vendors, and contractors
- Provide updates on procurement status, and issues
- Facilitate project closeout activities, including documentation, warranties, and final invoicing
- Assist installation crews and contractors to ensure work is completed according to specifications, quality standards, and safety regulations
- Provide support to installation teams, including resolving technical issues or challenges that arise during installation
Qualifications/Skills:
- Associate’s or Bachelor’s degree in Interior Design or Architecture from a recognized University or College
- At least 2 years of experience in commercial Interior Design/Purchasing
- Impeccable organizational skills
- A strong sense of urgency and attention to detail
- Ability to multitask
- Ability to work well under pressure and in a fast-paced environment
- Be self-directed, highly motivated, and have high initiative
- Have great written and verbal communication skills
- Be aware of design industry and business trends
- Experience in Revit, Microsoft Office, Bluebeam Revu, and Adobe Suite a PLUS.
