We are seeking a Travel Coordinator who exemplifies exceptional organizational skills and outstanding communication abilities to join our dynamic team. The ideal candidate will play a vital role in ensuring the efficient and successful coordination of all travel arrangements for our employees and teams. This position requires a blend of in-office (Glenpool, OK Office) and remote work, with flexibility for weekend and after-hours commitments to support our nationwide operations.
Key Responsibilities:
- Coordinate travel arrangements for owners, employees, customers, and vendors, including air travel, hotel accommodations, dining reservations, and ground transportation.
- Proactively monitor and track flights for delays and cancellations, assisting travelers in finding alternative arrangements.
- Maintain and track company travel issues, ensuring timely resolution and closure.
- Ensure compliance with company travel policies and procedures.
- Maintain detailed records of travel-related preferences, such as airline and hotel memberships, dietary restrictions, and other personal preferences.
- Serve as the primary contact for travel-related needs for remote company-sponsored events, coordinating logistics for participants and support staff.
- Assist in the day-to-day processing and tracking of travel logistics for remote events.
- Coordinate travel for ongoing projects across the country, focusing on the travel needs of our installation teams.
- Research and compare available travel and hotel accommodations to identify the best options for each travel need.
- Prepare and distribute detailed travel itineraries and schedules to all relevant employees.
- Obtain necessary approvals from leadership for travel requests and expenses that exceed established limits.
- Advise travelers on and assist with obtaining any specialized travel documents such as visas or passports.
- Manage temporary labor needs by liaising with partners to provide necessary personnel for jobs across the country when needed.
- Process reimbursements for travel expenses in a timely manner.
- Perform other related duties as assigned.
Requirements:
Education:
- Required: High School Diploma or equivalent.
- Preferred: Degree in Travel Management, Hospitality, or a related field.
Experience:
- Required: Strong working knowledge of the travel industry with at least 3 years of experience.
- Preferred: Familiarity with reservation systems and global travel coordination.
Skills and Abilities:
- Excellent verbal and written communication skills.
- Strong decision-making abilities with the capacity to assess multiple options and identify the best choice.
- Outstanding organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite or related software.
- Ability to work evenings and weekends during certain travel engagements.
- Capable of handling after-hours and weekend work for emergency travel arrangements.
Working Conditions:
- Combination of in-office (30 hours per week) and remote work (10 hours per week).
- Availability for weekend work and after-hours communication as necessary to support our nationwide teams.
