ORGANIZATION RELATIONSHIPS
Reports To: Purchasing Manager
Reporting Jobs: None; provide guidance and support for sales and warehouse personnel.
Contacts Inside: District Manager, Customer Service Manager, Warehouse/Transportation Manager, Warehouse Personnel, Inventory Control Personnel, Inside Sales and Account Managers, personnel from district offices.
Contacts Outside: Vendors, Manufacturer Representatives, freight companies.
PURPOSE
Role and Responsibilities
Purchasing stock material including negotiations to secure optimal pricing, delivery and quality for company. Maintain sufficient stock levels as lead times increase or decrease. Check delivery on back orders and/or releases. Provide current pricing on stock items for quotes and sales.
Core Purchasing Functions:
- Purchase materials for stock
- Handle expediting of purchased materials
- Enter acknowledgement dates in SXe
- New item set-up and item changes
- Work closely with vendors and manufacturer representatives regarding pricing, delivery and related issues
- Provide support to inside sales with pricing, deliveries, specifications, new products
- Coordinate delivery dates of materials for inside sales
- Work with warehouse personnel regarding quantity discrepancies, purchase order issues and receiving issues
- Work with accounting personnel regarding billing and/or price discrepancies
- Process/approve transfers to other district offices
Core Analyst Functions:
- Periodic reviews and analysis of inventory/products and recommendations to management, including:
- Turns
- Slow moving items
- Dead stock
- Hold tickets
- Customer contract expiration review
NATURE AND SCOPE
Understanding of product, pricing, and sales. Proficient verbal and written communication skills. Must be self-motivated, efficient, organized, able to multitask with accuracy. There is a significant amount of paperwork involved with this position. Courteous personality, ability to work with personnel both inside and outside the organization.
REQUIRED KNOWLEDGE AND EXPERIENCE
REQUIRED (minimum required job-related knowledge):
- High school diploma or equivalent
- 5 years general business experience
- Knowledge of Microsoft Office applications
- Must be able to write legibly as well as read and comprehend material and display effective written and oral communication skills for meetings with vendors, customers, management, or employees
- Must be able to perform spreadsheet operations and create word documents on a computer utilizing Microsoft applications, including Outlook, and various other computer and Internet-related programs
- Must have proficient typing skills
- Must have the ability to handle multiple projects at one time
PREFERRED:
- 3 years' experience in purchasing
- B.S. Degree
WORKING CONDITIONS
Normal office conditions. Must be willing to attend out-of-town meetings, work overtime during peak periods, and expect to work under pressure at times to meet deadlines. High level of accuracy required. Working hours 8:00 a.m. to 5:00 p.m., Monday through Friday with one hour for lunch. May be subject to being on call for the department as required.
