Job Overview:
We are seeking a skilled Project Coordinator with Commercial Construction Experience (specific experience required) to coordinate with production/accounting/vendors on various commercial construction projects. The ideal candidate will have experience in construction project management, utilizing industry-specific software, and ensuring projects are completed on time and within budget.
Responsibilities:
Essential Functions:
· Serve as the primary point of contact for vendor communications within the company, liaising with the Accounting Department and Production Team as necessary.
· Manage contracts with vendors, ensuring compliance with terms and conditions and resolving any issues or disputes.
· Provide vendor contract assistance, requiring advanced proficiency in Excel for data management and analysis.
· Ensure vendors comply to provide all required documentation and maintain Sage Intacct with the up-to-date records including Certificates of Insurance (COI), W9 forms, business licenses, close out documents and lien waivers.
· Manage the invoice flow and approval in Yooz and ensure invoices are processed timely.
· Ensure diligent management of subcontractor/supplier invoices in accordance with subcontract and purchase order agreements, including resolving discrepancies and maintaining accurate documentation. Additionally, proactively communicate with subcontractors about payment(s).
· Work closely with the finance department to resolve discrepancies with purchase orders, invoices, and payments.
· Collaborate with cross-functional teams to understand project requirements and coordinate purchasing activities accordingly.
· Maintain excellent communication standards, responding to calls and emails promptly, and ensuring all inquiries are addressed in a timely manner.
· Assist with special projects as requested and collaborate with team members to achieve company goals related to customer satisfaction, safety, and profitability.
· Direction of tasks, duties and priorities of support staff in production department (supervisory, non-management).
Requirements:
- Bachelor's degree in Construction Management or related field
- Proven experience in construction project coordination
- Strong knowledge of construction costing and budgeting
- Proficiency in using SAGE, YOOZ or other similar costing software
- Excellent time management and organizational skills
- Ability to build strong relationships with stakeholders
- Familiarity with contract negotiation and management
