Job Summary: We seek a highly organized and detail-oriented individual to join our team as a Secretary/Clerical Assistant in the Tampa Westshore field office. In this role, you will provide administrative support and assist with various clerical tasks to ensure the smooth functioning of our office. You will manage office operations, coordinate meetings, handle correspondence, and maintain accurate records. The ideal candidate is proactive, possesses excellent communication skills, and can prioritize tasks efficiently.
Responsibilities:
- Perform general clerical duties, including photocopying, scanning, mailing, and filing documents.
- Manage incoming and outgoing correspondence, including answering phone calls, taking messages, responding to public inquiries, and responding to emails in a professional and timely manner.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff members.
- Prepare and distribute meeting agendas, minutes, and other relevant materials.
- Maintain and update office records, databases, and filing systems to ensure accurate and organized documentation.
- Assist in preparing reports, presentations, and other documents as needed.
- Greet and assist visitors, clients, and employees in a courteous and professional manner.
- Order and maintain office supplies, ensuring adequate stock levels at all times.
- Collaborate with team members to support various administrative tasks and projects as assigned.
- Handle sensitive and confidential information with utmost discretion and maintain confidentiality at all times.
- Coordinate the repair and maintenance of office equipment.
- Perform any other duties as assigned by the supervisor to contribute to the efficient operation of the office.
Job Type: Full-time
Pay: $20.00 - $26.00 per hour
