Purpose: The Accounting Assistant supports general business operations within Community Day School. The position will manage student/camp accounts, communicate with families, manage petty cash, A/P, A/R and general accounting & financial responsibilities.
Responsibilities:
- Operate deftly within many on-line platforms to manage accounting and bill pay, A/P services in a mostly paperless environment as a primary user. Systems include, but are not limited to: bill.com; Martus; Quickbooks online; Campsite; Expensify.com; Blackbaud SMART Tuition; Donor Perfect; APS payroll; Google-suite; Microsoft office; online banking and remote check deposit; various vendor on-line bill pay systems.
- Support end of month/season/year financial statements including balance sheet and P&L reports, cash flow analysis, and forecast. Assist in ensuring all financial records and statements are in line with laws, regulations, and generally accepted accounting principles (GAAP).
- Manage student/family accounts including third party scholarships, tuition assistance, billing, payments and arrears accurately, and in a timely manner, and communicate updates with families.
- Ability to learn on the job and apply learning to problem solve in future transactions, and the ability to identify concerns within accounts and financial operations based on previous knowledge, experience, and training.
- Analyze accounts and account history to research payments, anomalies, and questions to problem solve and provide exceptional customer service to both internal and external clients.
- Responsible for following and maintaining all internal controls and processes. Assist in identifying changing needs and recommending solutions.
- Assist with general business compliance and operations as needed, including managing Florida Sunbiz account, vehicle registration, annual TPP, W9/1099s, collections processes, agreed upon procedures (AUP) reviews, 990 and audit preparations.
- Manage the financial aspects of summer camp: registration, billing, and accounting within the summer camp software system.
- Assist with the budgeting process to understand cost center needs and spending habits, and educate cost center managers on their actual to budget spending.
- Ability to quickly learn, retain, and apply knowledge of the general ledger system and department cost centers within general accounting principles to review income/expenses and code for accuracy within the organization.
- Assist with donation and restricted fund balance management, release of funds and reconciliation.
- Assist with online banking, remote deposit, credit card processing, internal reconciliation as needed.
- Support of the front desk to cover vacations, unexpected absences, lunches as needed.
- Assists with other administrative tasks as needed to support the CDS mission.
Position Qualifications:
High School Diploma or GED is required with 2-3 years of previous accounting or bookkeeping experience required; 2/4-year degree is preferred. Ability to maintain consistent and timely attendance in a fast-paced environment. Ability to earn/maintain a Florida Notary Commission within 3 months of hire.
Additional Skill Requirements:
- Advanced computer skills including advanced spreadsheet knowledge (Excel/Sheets); ability to manage and maintain computerized records within the cloud; and develop reports using queries within software platforms.

- Lifts supplies and materials weighing up to 25 pounds.
