Job Summary
The Hospice Aide Scheduler provides support to the Hospice Aide Manager and the Hospice Aides. The employee is responsible for entering Hospice Aide assignments in Netsmart and handles the daily scheduling issues that arise regarding Hospice Aide visits for patients. Maintains accuracy of visit frequency entries, and assists in correcting timelog issues.
Essential Responsibilities
Specific Functional Responsibilities

Reviews all admits daily for new HA requests

Follows up on any changes to current aide schedules / assignments
-
Makes new HA assignments based on need, geography and frequency

Maintain accurate assignments of HA in Netsmart
-
Maintains the master scheduler record and populates scheduler with assignments
-
Reviews that compliance with VF is being met with new assignments
-
Maintains Excel spreadsheet schedule
-
Ensures HA POC is entered for all new assignments

Faxes the schedule to facilities weekly

Performs other related job duties as assigned by Supervisor
General

Schedules and coordinates HA visits / updates schedules as needed due to HA absences

Alert / Text HA any schedule changes
-
Reviews HA timelogs for accuracy

Helps HA to manage problems between HA and patients with regard to schedule

Responds to patient concerns relating to HA scheduling promptly, with appropriate supervisory intervention as required.

HA Vacation requests are gathered and reviewed with HA Manager

Assists in the interview process with perspective HA new hires

Gives evaluation input to HA Manager for HA performance evaluations

Reviews VF reports weekly in coordination with HA Manager
Provides support to Administrative Staff

Takes patient care calls whenever necessary in support of Administrative Staff

Order and request pick up of DME as needed

Monitor electronic faxes

Process order runs
-
AllDoc documents
-
Request lab results as needed

Update information in Netsmart as needed

Data entry in Zoomshift as needed
Compliance:

Ensures all HIPAA Privacy and Security Regulations, Medicare Conditions of Participation, and all other regulatory/compliance requirements are understood and followed
Requirements
Education/Experience
-
High School Diploma
-
1-3 years of administrative experience
-
Medical office experience
-
Experience in staff scheduling
- Familiarity with hospice regulations a plus!
Skills Required

Strong knowledge of various computer systems: MS Office, including Word, Excel, Outlook, Internet and Medical office database systems.
Certifications, Licenses, Registrations:
- Pass OIG/GSA review and all required background checks
