Job Summary:
The Office Manager plans, organizes and manages all activities connected with the running of the office, including client registration, check-in, checkout, supply management, inventory, assisting with clients as indicated, strategic planning, marketing and liaison work with the University. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.
Duties:
- Oversees and manages daily operations of office functions.
- Oversees all aspects of creation and implementation of the inventory and prepares Inventory report. Oversees the department customer satisfaction survey for all categories of participants, including creating the survey in Qualrics and administering and marketing the survey.
- Manages financial accounts for the office. This includes managing accounts for payment, invoicing and working with vendors to resolve any billing issues.
- Hires, schedules, manages and trains all student workers and volunteers, establishes performance objectives and reviews student worker job performance. Recommends appropriate personnel action. Performs student worker annual performance evaluations and submits the written evaluations to the Department Chair or Manager. Plans, organizes and delegates work to all student workers and volunteers.
- Identifies any physical resources that need to be repaired or replaced due to poor physical condition.
- Uses technology for client scheduling and communicating with the appropriate University department representatives.
Qualifications:
- Associate’s degree
- 2-years of supervisory experience
- 2-years of customer service experience (PREFERRED)
- Excellent customer service and effective public relations knowledge with the ability to effectively communicate in oral and written form and create positive interpersonal relationships with staff, student workers, clinicians, referral sources and clients
- Ability to organize, assign and schedule workload among student workers and volunteers
- Ability to develop recommendations for the office budget
- May supervise AHU student workers.
