Campus Operations Manager

The Campus Operations Manager has broad responsibility across all McLean campuses to strategically plan, manage, and coordinate Facilities-related contracted services with the maintenance teams to ensure regulatory-compliant, efficient, and smooth operations. Groups reporting through the Campus Operations Manager's leadership collaboratively partner with Capital Projects and EHS (Environment, Health, and Safety) to repair, maintain, and refresh infrastructure in support of McLean's mission to improve the lives of patients and families affected by mental illness.
In addition to the oversight of contracted services and the leadership of the in-house maintenance teams, the Campus Operations Manager uses proven industry examples and past expertise to improve facilities-related processes and repair / replacement strategies which address the root cause of issues, rather than treating each preventive or corrective work order as a unique request.
Principal Duties & Responsibilities
As the expert in healthcare facility compliance regulations, especially with respect to DPH, DMH, Joint Commission, and building code requirements (among others), you represent the Facilities team as needed at a variety of strategic campus meetings with key stakeholders. Examples of these groups include Infection Control; Emergency Planning / Business Resiliency; Move Coordination; and Strategic Sourcing. Groups across McLean will think of you as the "go-to" person to resolve escalated issues. As part of these efforts, you:
- Maintain current knowledge of building codes, regulations, standards, and accreditation requirements relevant to behavioral healthcare, research laboratories, and other program areas across campus.
- Spot check maintenance work completed by external vendors to ensure quality.
- Participate in campus-wide surveys as necessary to maintain Joint Commission compliance, life safety requirements, and other regulatory reviews.
- Promote culture of safety within the Department: understand and apply OSHA workplace requirements and expect the same of your team.
Collaborating across departments and spotting potential facility operations improvements, the Campus Operations Manager will recommend strategies to:
- Achieve reductions in equipment downtime.
- Improve preventative maintenance scheduling efforts.
- Work with the Procurement team to (re)negotiate vendor contracts when applicable.
- Partner with Procurement streamline invoicing process.
- Equitably staff off-hours requests and emergency coverage demand.
- Must be willing to participate in call responsibilities as part of the rotation schedule. Cross-train staff to provide back-up emergency coverage.
- Establish a formal shutdown notification procedure(s) and timeline in conjunction with a staff communications strategy.
- Seek ways to minimize McLean's environmental footprint.
Vendors and services to manage as part of Campus Operations (partial listing): Alarm Systems; Building-Related inspections; Environmental Services; Grounds Management; Integrated Pest Management; Campus Shuttle services; Trap / Pit / other cleanouts; Trash / Recycling / Compost; Vendors: MEP/FP
The Campus Operations Manager sees the big picture and the small steps needed to get there. Successful team leadership requires the knowledge and/or capability to:
- Suggest solutions instead of presenting problems
- Work with in-house staff to develop a selection process for work order request fulfillment which results in long-term infrastructure improvements
- Hold Facilities vendors accountable for delivering high quality services at all times.
- Bolster in-house teams with additional resources when required to complete tasks.
- Mentor staff. Teach staff to think critically and to plan ahead.
- Provide staff with training to use new office-related tools when necessary.
- Help prepare the next generation of leaders from within the organization.
- Perform other duties as assigned.

Education
Required: bachelor's degree in engineering, architecture, Business Management, Construction Management, or similar background (preferred but not required)
Preferred: master's degree in engineering, architecture, Business Management, Construction Management, or similar background (preferred but not required).
A mix of deep experience in healthcare related facilities; along with demonstrated examples of team management or supervision; a current trade license; and/or knowledge of compliance requirements in combination with a high school diploma or GED will also be considered.
Required Experience
Candidates must demonstrate a minimum of 8-10 years of experience in the following settings and/or roles:
- Supervisory and/or management experience in healthcare and/or behavioral healthcare settings, and/or similar medical setting
- Background in vendor and contract management; contract (re)negotiations; RFP efforts, etc.
At least 1-2 years of experience in the following settings and/or roles:
- Working with aging infrastructure (50+ years)
- Historic renovations
Possess a valid US driver's license.
- At least 5-7 years of supervisory experience of a team 8+ people; and/or
- At least 3-5 years of experience working on a campus and/or responsibility for a multi-building setting.

- Top notch computer skills: Outlook, Excel, Word, Teams, and Powerpoint. Knowledge of Autocad and/or Sharepoint is a plus.
- Deep understanding of work order system fundamentals.
- Knowledge of sustainable infrastructure practices, with experience in implementation.
- Ability to read building plans, sections, details, and specifications.
- Organizes and oversees compliance documentation for building and safety codes, Joint Commission regulations, and other applicable standards.
- Strong background in vendor and contract management; maintenance operations; fiscal management; and the use of technology to support these efforts.
- Monitors team spend to stay within annual budget.
