Position Summary:
Under the direction of the management team, the Operations Support Specialist is responsible for the day-to-day monitoring, coordinating, and tracking of security operations. They will accomplish this through managing multiple communication platforms.
Job Duties and Responsibilities:
The Operations Support Specialist plays a crucial role in ensuring the smooth operation of security systems and personnel within our organization. Their primary responsibility is to monitor and coordinate security activities, ensuring that all incidents and emergencies are appropriately addressed in a timely and efficient manner. THIS IS AN OVERNIGHT POSITION WITH SCHEDULED HOURS RANGING FROM 6PM-6AM. MUST HAVE FLEXIBILITY TO BE SCHEDULED ANY NIGHT OF THE WEEK.
- Communication and Coordination: Maintain effective communication channels with security officers, management, and response teams. Provide instructions, guidance, and support during routine operations and emergency situations.
- Emergency Response: Act as the central point of contact during emergencies. Receive and respond to calls for assistance, alarms, and distress signals. Assess the situation, gather information, and dispatch security personnel or emergency services as required.
- Dispatch Operations: Track the location and status of security personnel to ensure efficient coverage and response. Handle radio dispatching functions throughout their shift, as well as maintain lines of communication with officers across all applications the organization uses.
- Monitor Incident Reporting: Perform report auditing throughout the shift to ensure that officers are executing the intended post orders at each site. Maintain detailed logs, incident reports, and other records to ensure proper documentation and follow-up actions are communicated to the management team.
- Equipment Maintenance: Regularly inspect, test, and maintain security equipment to ensure proper functioning. They may interact with the designated fleet or operational managers to address any maintenance or repair needs promptly. This includes functions such as vehicle inspections, and the check-in/check-out of equipment (e.g., radios, body cams, key boxes, etc.).
- Training and Support: Assist in the training and orientation of new security personnel, familiarizing them with dispatch procedures, communication protocols, and emergency response plans. They may also provide guidance and support to security officers in the field.
- Compliance and Policy Adherence: Ensure compliance with security policies, procedures, and legal requirements. Stay updated on relevant regulations and industry best practices to maintain a high level of security standards.
- Customer Service: Provide assistance and information to employees, visitors, and stakeholders regarding security-related matters. Address inquiries, provide directions, and offer general support to maintain a positive and secure environment.
Qualification Standards:
To perform this job successfully, the individual must be able to perform each job duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or experience required.
Education and Experience:
- HS Diploma or equivalent
- 1-2 years of related experience in a security dispatcher role
Licenses/Certifications:
- Valid Driver’s License
- Valid Unarmed Security License (preferred)
- Valid Armed Security License (preferred)
- CPR/AED/FA Certification (preferred)
Energetic and focused personality with a demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments, and effectively manage deadlines.
Ability to write effective and concise reports. Working knowledge of Microsoft Office software a considerable plus.
Professional, articulate, and able to use good independent judgment and discretion.
Outstanding verbal and written communication skills required. Ability to successfully interact at all levels of the organization.
Physical/Mental Requirement and working environment
- While performing the duties of this job, the employee is regularly required to use both hands, frequently required to stand, sit, stoop, talk and hear (communicate verbally in person and via regular telephone equipment), and must be able to read computer screens, correspondence, and reports in English.
- The employee must constantly walk, stand, and reach with both hands and arms. The employee may occasionally lift and/or move up to 25 pounds.
- The job is generally performed in an office setting. Must be able to remain focused with limited distractions. Must be able to adapt and operate in a professional manner.
