Dutchess County Soil & Water Conservation District focuses on natural resource problems and solutions. The District provides technical assistance as well as education on soil, water and related natural resources. Municipalities, farmers and landowners use this information in making proper land use decisions. In addition, the District assists other environmental organizations in the expansion of public service.
This administrative position serves as an officer to the Board of Directors and is a member of an interdisciplinary team responsible for the implementation and administration of Soil and Water Conservation District (SWCD) programs. The SWCD Secretary shall report directly to and receive direction from the SWCD Executive Director and SWCD Board of Directors. You will be the point of reference for all queries, requests or issues and will be an integral part of the SWCD workforce. Does related duties as required.
Responsibilities:
- Responsible for accurately recording meeting minutes and maintaining the permanent minute book(s)
- Assist in the preparation of monthly financial statements for the Board of Directors and SWCD Executive Director
- Assist with the tracking and funding of expenditures for all SWCD grants
- Reviews and approves all SWCD staff time sheets for accuracy and policy compliance and generates SWCD employee time sheets
- Maintains current employee personnel files
- Serves as SWCD Records Management Officer and is responsible for maintaining SWCD files according to the State Educational Department
- Provides secretarial support to SWCD District Manager
- Prepare and disseminate correspondence, memos and forms
- File and update contact information of customers, suppliers and external partners
- Support and facilitate the completion of regular reports
- Assists SWCD Executive Director in the establishment, review and maintenance of all SWCD policies, procedures and insurance policies
- Maintains newsletters, Tree and Shrub Program and training mailing lists
- Performs related duties as assigned by the SWCD Executive Director.
Skills:
- Proven work experience as a secretary or administrative assistant
- Must be able to accurately record meeting minutes
- Proficiency in MS Office (Microsoft Excel, Word and Outlook programs and accounting software)
- Preferred accounting skills (Payables/Receivables); Quikbooks experience desired
- Familiarity with office organization and optimization techniques
- High degree of multi-tasking and time management capability
- Good knowledge of the functions of local, state and federal agencies
- Ability to maintain a professional and cooperative working relationship with all agency and interagency staff
- Ability to communicate effectively both orally and in writing
- Ability to work independently, manage workload efficiently and demonstrate accuracy, integrity, confidentiality and sound professional judgement
Qualifications:
- Bachelor’s Degree, or higher, in business, accounting, or related field and four (4) years of related professional experience, preferred
- Associate’s Degree in business, accounting, or related field and six (6) years of related professional experience, minimum

Salary Commensurate with experience, starting range $40,000 - $50,000/year
