SUMMARY OF POSITION
Responsible for Community Services’ procurement and to provide accurate planning and executing of the purchasing activities necessary to ensure the timely delivery of products, materials, and/or services at a competitive rate. In addition, responsible for preparing/filling orders from stock and maintaining appropriate stock levels.
POSITION RESPONSIBILITIES
1. Responsible for purchasing products, materials, and/or services for the Agency.
2. Ensures that vendors are providing competitive pricing of products, materials and/or services.
3. Ensures the accurate completion of Agency Purchase Requests and order submissions including reviewing the request for proper approval levels. Responsible for placing the order once all required approvals are received.
4. Responsible for receiving ordered supplies (unless delivered directly to the site), all inventory, and ensuring appropriate delivery or storage of ordered material.
5. Serves as the main Agency contact for follow up on all orders placed. Will follow up on orders not received in good condition and ensure items are returned if necessary.
6. Updates and maintains purchasing stock levels through weekly inventory counts.
7. For procurements made with an individual’s personally managed funds, will work closely with the PMF Bookkeeper and Accounts Payable Clerk to provide receipts and approvals of purchases.
8. Responsible for following up with requestors to ensure purchase orders are released in a timely manner.
9. Responsible for analyzing purchases by department and/or supervisor and making recommendations to improve efficiency.
10. Must have accessible vehicle in order to potentially pick up/deliver supplies at different offsite locations.
11. Provide guidance and training on electronic purchasing system
12. Performs other tasks and responsibilities as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
POSITION QUALIFICATIONS AND REQUIREMENTS
1. Education and Experience
a. Associate’s Degree with six (6) months of related experience; or a HS Diploma/GED with one year of related experience.
2. Skills, Knowledge and Abilities
a. Working knowledge of Microsoft Word and Excel with database management skills.
b. Knowledge of office, medical and janitorial supplies.
c. Good oral and written communication skills.
d. Knowledge of office procedures and equipment.
e. Ability to follow oral and written directions.
3. Verifications and Screenings
a. County clearance of criminal convictions.
b. A drug screen prior to the commencement of employment.
4. Use of personal vehicle for work purposes including delivery of supplies to various Agency locations.
5. Physical and Mental Requirements:
a. Exercising independent judgment, concentrating, thinking, communicating, interacting with others, managing multiple tasks and coping with stressful situations and deadlines.
b. Sitting, walking, standing, carrying, bending, and driving.
c. Lifting up to fifty (50) pounds.
d. Ability to concentrate, cope with stressful situations and deadlines, and manage multiple tasks.
WORKING CONDITIONS
1. Will work in office environment.
2. Will work during normal business hours.
3. Local travel between offices may be required.
Job Type: Full-time
Pay: $19.00 per hour
