LOCATION: Lakeshore Technical College – Cleveland, Wisconsin
POSITION SUMMARY: Provide confidential support to Vice President (VP) of Student Success in the leadership of student services of the college and support of the WTCS Career and Technical Student Organizations (CTSO). Serve as a department lead for the Student Success department. Develop and maintain strong working relationships with staff, colleagues, and counterparts at the other WTCS districts. Must perform tasks without direct supervision and maintain confidentiality. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):
(30%) Student Success
- Create and monitor/manage projects, including updating and monitoring status, maintaining project management schedules using database/files. This includes student information system-related projects, third-party software implementations, grant-related projects (including tri-annual grant reporting), and department-related projects. Assist with planning for student success. Research and analyze the impact of plans, make recommendations for resolving issues, and help to prioritize projects.
- Assist VP in providing information on matters related to student services and enrollment management.
- Monitor, follow-up, and report progress of the college initiatives, including to create and update dashboards and scorecards.
- Provide coverage to the Welcome Center during periods of high demand or as needed.
- Serve as content manager for the Student Success site and Title IX Teams page on The Bridge.
- Assist with the deployment of overall Student Success goals. Solve problems, answer questions, provide information, and follow-up on requests. Manage goals for VP and make sure deadlines are met.
- Maintain Student Success goals and monthly reports.
- Oversee, coordinate, and ensure data quality in communication activities required for the work of student services. Manage and update closed circuit TV messages and posted materials throughout the College.
- Responsible to gather data, create reports, and analyze information for decision-making. Use college systems to obtain information for reports and in making decisions.
- Maintain high level of customer service to external and internal customers to include interaction with students, deans, managers, faculty, and support staff to resolve issues and influence outcomes.
- Serve on the Title IX committee in preparing communications, documents, and maintaining meeting records.
- Annually update and manage the preparation of the Student Handbook and College Catalog. Update program sheets in working collaboratively with Instruction.
- Manage Student Success policies and procedures in PolicyTech to ensure timely staff review.
- Responsible to maintain responses and evidence documentation in the Assurance Argument for the Student Success Department. Serve as a member for gathering responses and evidence documentation for the Assurance Argument as part of the Higher Learning Commission (HLC) Accreditation Process.
- Manage student communication of BetterMynd, the college’s mental health counseling service. Serve as platform administrator.
(25%) Transcripted Credit Agreement Process
- Responsible for the process of creating High School (including transcripted credit, 38.14 contracts, and College Here and Now) contracts.
- Responsible to create and schedule high school courses in Student Information System.
(20%) Office Leadership
- Provide confidential support to the VP.
- Develop agendas, prepare necessary paperwork, take minutes, and follow through on student services manager meetings recommendations and next steps. Attend meetings called by VP for the purpose of preparing agendas, materials, and taking/distribution of minutes.
- Responsible for maintaining and ordering office supplies and related items. Coordinate business cards, name badges, and nameplate orders for the Student Success department as needed.
- Assist the VP in the development and maintenance of the Student Success Annual Plan, Scorecard, and related sections of HLC.
- Manage P-card purchases. Responsible for travel arrangements and purchases for Student Success applicable staff. Schedule travel arrangements for the VP.
- Assist VP in the preparation of department budget. Monitor budgets and work with VP as needed to make adjustments.
- Work in conjunction with counterparts across the technical college system on projects as appropriate.
- Maintain VP’s calendar and schedule/coordinate various meetings with internal and/or external customers.
- Assist VP in all communication activities required of the department.
- Assist VP with the development of presentations.
- Maintain administrative files.
- Serve as a resource person for the Leadership Team office.
(15%) TRIO/CCAMPIS Support
- Provide TRIO administrative support including the following: managing the APR (Annual Program Review) document, scanning and logging student documents into ImageNow, tracking events students attend, calculating statistics as required through the Federal Grant.
- Provide CCAMPIS support by maintaining and managing the student intake forms, logging student documents into ImageNow and recording case notes.
(10%) Wisconsin Career & Technical Student Organization (CTSO)
- Provide primary administrative support for the statewide Career and Technical Student Organizations (Business Professionals of America, Postsecondary Agricultural Students, and SkillsUSA).
- Maintaining the CTSO three budgets by processing all payment, collections of membership dues and even fees, purchases, and reimbursements.
- Manage and develop yearly contracts and invoices for all 16 colleges.
SUPERVISORY RESPONSIBILITIES:
EDUCATION AND EXPERIENCE
- Associate degree or equivalent in a related discipline required.
- Two to three years recent related occupational experience required.
CERTIFICATIONS, LICENSURE, REGISTRATION:
TECHNOLOGY SKILLS:
- Ability to master software such as: Microsoft Office (Word, PowerPoint, Excel). Manage Access databases.
- Be familiar with basic hardware; use and maintain voice mail; use file manager; use network file manager; use and maintain a personal calendar; navigate through Windows; access college network system; understand database concepts; send and receive attachments; access a bulletin board; navigate through the Internet; schedule meetings; use email to communicate.
- Use and maintain listservs. subscribe and unsubscribe to external listservs; set-up and use a laptop and printer; develop materials using presentation software; use video conferencing; use database queries; use scanning techniques equipment; create simple charts and graphs; and access and use project management systems.
OTHER KNOWLEDGE, SKILLS, AND ABILITIES:
- Organizational skills, initiative, judgment, decision-making and ability to assume responsibility without direct supervision.
- Knowledge of Wisconsin Technical College System and LTC mission, vision, and strategic direction.
- Excellent command of the English language, both written and oral.
- Excellent note taking skills required.
