Banquets & Catering Coordinator
JOB SUMMARY
Provides administrative and operational assistance in the Banquets & Catering Department. Helps supervise banquet personnel to ensure that member and guest satisfaction and presentation standards are consistently attained. Assists Catering Director and Assistant Director in promoting the club’s banquet facilities for private business and social events as well as club member events.
JOB TASKS (Duties)
- Assists with coordinating banquet events based on client specifications as documented in the banquet event order.
- Oversees Banquet Captain; helps supervise and direct banquet staff during all phases of a banquet event.
- Effectively communicates expectations and service goals to the banquet staff.
- Assists in coordinating food service between kitchen and banquet service staff.
- Maintains an inventory of all banquet service ware, equipment and supplies to meet required needs.
- Helps enforce established club rules, regulations and policies.
- Reviews set-up needs and diagrams for events and works with team to ensure rooms are set properly before guest arrival.
- Works with the Assistant Catering Director to conduct pre-function meeting with banquet team to ensure effective service; assists with assigning server stations and coordinating of service timing.
- Ensures all banquet staff are well groomed and in proper uniform.
- Assists in recruiting, training, scheduling, and supervising all banquet staff.
- Greets and interacts with host or hostess to assure all needs are being met.
- Oversees set-up and breakdown of events.
- Attends weekly food and beverage meetings to review club event banquet orders with management team.
- Assists in developing contracts (banquet event orders) and floor plans.
- Other administrative and clerical duties as needed.
QUALIFICATIONS/ SKILLS
- 2 years professional work experience; hospitality, hotel/restaurant, banquet experience preferred (hospitality internship or service industry employment may substitute)
- Strong knowledge of hospitality; banquet knowledge preferred
- Proficient in Microsoft Office suite
- Flexibility, ability to work extended or irregular hours to include nights, weekends and holidays as business dictates
ADDITIONAL REQUIREMENTS
- Proven ability to work effectively with all levels of staff and management; ability to participate in team environment concepts
- Self-starter who can work independently; work on several tasks/projects simultaneously
- Effective written and verbal communication skills
- Initiative in identifying and resolving problems timely and effectively
