We are seeking a skilled and motivated Independent Event Planner to join our team. The primary responsibility of this role is to secure patrons and fill the venue calendar with a diverse range of events. The ideal candidate will have a strong network, exceptional communication skills, and a proven track record in event planning and coordination.
Key Responsibilities:
- Identify and cultivate relationships with potential patrons including corporations, organizations, event planners, and individuals.
- Develop and implement strategies to attract patrons to book events at our venue.
- Negotiate contracts and agreements with patrons, ensuring mutually beneficial terms for both parties.
Venue Calendar Management:
- Work closely with the venue management team to understand availability, capacity, and suitability of spaces for various events.
- Develop and maintain a comprehensive calendar of events, ensuring a diverse and appealing lineup.
- Coordinate with patrons to schedule and confirm event dates, times, and logistics.
Event Planning Support:
- Provide guidance and support to patrons throughout the event planning process, including selecting appropriate amenities, catering services, and entertainment options.
- Collaborate with vendors and suppliers to fulfill event requirements and ensure seamless execution.
- Assist with on-site event coordination as needed, ensuring events run smoothly and meet patron expectations.
Marketing and Promotion:
- Develop promotional materials and campaigns to attract patrons and drive event bookings.
- Utilize various marketing channels such as social media, email marketing, and targeted advertising to reach potential patrons.
- Attend networking events, industry conferences, and trade shows to promote the venue and establish connections within the event planning community.
Qualifications:
- Proven experience in event planning, preferably in a similar role within the hospitality or entertainment industry.
- Strong negotiation and interpersonal skills with the ability to build and maintain relationships with diverse stakeholders.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Creative thinking and problem-solving abilities to develop innovative event concepts and solutions.
- Proficiency in Microsoft Office suite and event planning software/tools.
- Bachelor's degree in Hospitality Management, Marketing, Business Administration, or a related field preferred.
This is an independent contractor/freelance position with flexible hours and the opportunity to work remotely. Compensation will be based on a commission or fee structure, with the potential for bonuses based on performance and event bookings.
