We are currently looking for a Sales and Office Coordinator to join our team.
This position provides support to the Executive Leadership Team and Director of Administration by assisting with all aspects of office procedures, meetings, and anticipating the needs of the executive team and organization. The successful candidate will be a collaborative team member with a friendly, energetic work style, exceptionally well-organized, able to effectively prioritize, and take initiative with projects and deliverables. This individual must demonstrate strong project management skills & communication skills through the coordination of multiple travel schedules, events, reporting, and coordination of activities across the team.

Job Duties and Responsibilities:

You'll play a key role in facilitating communication, managing office functions, managing office vendors, managing team schedules, and organizing pertinent information.
- Processing Accounts payable and receivable tasks as directed by manager.
- Research and obtain requested information.
- Assembling business data needed for meetings.
- Design and produce creative and engaging PowerPoint presentations.
- Organize meetings and the agendas.
- Notetaking in meetings.
- Coordinating onsite or offsite events, to include food & beverage,
logistics, meeting materials, etc.
- Preparing general documentation and spreadsheets.
- Compiling data for reports and making recommendations.
- Establish and maintain confidential files and documentation.
- Calculating and submitting accurate expense reports for individual and executive team.
- Prioritizing incoming mail (physical and email).
- Screening and directing incoming phone calls.
- Route and answer routine correspondence not requiring executive's
attention to ensure timely and accurate response.
- Appointment scheduling/calendar maintenance.
- Coordinating travel arrangements and events for partners.
- Become the back up support for managers duties including QuickBooks, BambooHR, payroll, etAssist with onboarding new hires as directed by manager.
- Assist with onboarding new hires as directed by manager.
- Work with Business development lead to maintain client and prospective contact list.
Skills and Qualifications:

Previous experience supporting executive team in a successful capacity.
- Strong proficiency with Microsoft (Office, Word, Excel, PowerPoint) as well as experience with QuickBooks.
- Must have previous office experience in handling A/P and A/R communications and processing.
- Must be highly motivated and enjoy working in a fast-paced environment.
- Effective Problem solving and creatively while maintaining a high level of professionalism and integrity.
- Goal oriented.
- Bachelor’s Degree preferred.
