We are looking for an Administrative Assistant to organize and coordinate administration duties, office procedures, and assist with marketing efforts. Experience in the food manufacturing industry is a plus, but not a requirement. In addition to normal office administrative duties, we are looking for an individual who can grow into taking on additional responsibilities in the future including but not limited to Quality Assurance, HR, and expanded marketing efforts. We are a rapidly growing company and looking for individual to grow with the company.
Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include handling day to day tasks such as entering bills, creating documents, answering emails and phone calls, directly assisting the Business Manager, and more. Previous experience as a Front office manager or Office administrator would be an advantage. A successful Admin Assistant should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Admin Assistant should be able to ensure the smooth running of the office and support the Business Manager and other administrative staff.
Responsibilities
- Serve as the point person for: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Schedule meetings and appointments
- Organize the office layout and supplies
- Partner with HR to update and maintain office policies as necessary
- Organize office operations, filing, and procedures
- Ensure that all items are invoiced and paid on time
- Provide general support to visitors
- Assist in the onboarding process for new hires
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Manage/Monitor Employee Time Clock activities
- Assist with Payroll
- Create documents for Product Shipments and coordinate shipment schedule with the Production Manager and Warehouse staff
- Keep accurate and organized paperwork
- Raw Material Ordering/Inventory
- Create/Send Customer Product Samples
- Maintain Product Sample Inventory
- Maintain/Coordinate Customer Marketing Materials
- Assist with Marketing Efforts
Skills (These skills are a requirement. Please only apply if you have the skills listed here.)
- Proven experience as an Office manager, Front office manager or Administrative assistant
- Bi-Lingual (English/Spanish) Required.
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel, Word, Publisher)
- Familiarity with QuickBooks or bookkeeping software
- Familiarity with ADP (Not required, but will be given priority)
- Hands on experience with office machines (e.g. computers, printers, etc.)
- Familiarity with email scheduling tools
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
