Helix Earth Technologies Inc.* is seeking a dynamic Executive Assistant to support our CEO and executive team. This hybrid position requires regular attendance at our Houston, TX offices, combined with the flexibility of remote work. The ideal candidate will be a self-starter who is detail-oriented, with exceptional organizational skills and the ability to manage multiple priorities in a fast-paced startup environment.

Job Responsibilities:*

Provide high-level administrative support to the CEO and executive team, including managing calendars, scheduling meetings, and coordinating travel. etc.
- Act as the primary point of contact between the CEO and executive team and internal/external stakeholders, ensuring smooth communication and follow-ups.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
- Foster deep connections by sending birthday, anniversary, and other meaningful correspondence on behalf of the executive team.
- Assist in the planning and execution of meetings, conferences, and events.
- Conduct research, compile data, and prepare briefing materials for the CEO and executive team.
- Handle confidential information with discretion and maintain the highest level of professionalism.
- Manage projects and initiatives as assigned by the CEO and executive team.
- Assist in the development and implementation of office policies and procedures to improve efficiency and effectiveness.
- Help with processing payroll.
- Occasional travel may be needed.
- Maintain and organize files, records, and other documents to ensure easy retrieval and reference.

Qualifications:*

BS in Business Administration, Communications, or related field preferred.
- Strong written and verbal communication skills.
- Experience as an executive assistant or in a similar role, preferably in a startup.
- Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and take initiative, as well as collaborate effectively as part of a team.
- High level of attention to detail and accuracy.
- Demonstrated ability to handle confidential information with discretion.
- Strong problem-solving skills and the ability to think proactively.

Experience in a technology or engineering company.
- Strong research capabilities, including:
- Grant research and applications
- Conferences and speaking opportunities
- Ability to anticipate needs, think critically, and offer solutions proactively.
- Familiarity with project management tools and software (e.g., ClickUp).
- Experience in event planning and coordination.
- Basic Graphic design experience (Canva, Photoshop, Illustrator, etc)
