We are seeking a highly motivated and organized Fleet Coordinator to join our team in Ontario, CA. The Fleet Coordinator will assist in managing a growing fleet of 450 vehicles operating in nine different states. You will support the Fleet Manager in planning, managing, coordinating, maintaining, repairing, and replacing vehicles. Our goal is to provide the highest level of service to our company's fleet drivers and support the Fleet Manager in all fleet-related activities.
Responsibilities include, but are not limited to:
- Assisting with Vehicle Management: Support the Fleet Manager in forecasting new vehicle requests, redistributing existing resources, and electronically tracking vehicle transfers and assignments for new hires and current employees.
- Administrative Support: Handle time-sensitive requests efficiently, including fuel cards, driver PINs, evaluation and approval of services, roadside assistance, and credit card payments for smog checks, repairs, and maintenance services.
- Creating Fleet Purchase Orders: Generate purchase requests for items needed for the fleet, such as vehicles, parts, or services.
- Invoice Management: Review, approve, and submit invoices for payment processing.
- Vendor Management: Assist new vendor setup in the internal systems.
- Documentation and Record Keeping: Create and maintain detailed records of vehicle servicing, inspections, maintenance, and repairs. Assist in processing and maintaining vehicle documentation such as registrations, certificates of title, release of liability forms, and insurance documentation.
- Driver Support: Assist drivers with vehicle accident documentation, claim reporting and management, and vehicle repairs. Address employee vehicle maintenance, vehicle care, timely payment of citations, driver complaints, GPS-related issues, and violations of company fleet policy.
- Compliance and Audits: Perform routine audits on all fleet-related fuel usage and toll road accounts, ensuring compliance with company policies and regulations.
Qualifications:
- Associate’s degree preferred
- 3 years prior experience in fleet management is required.
- Experience in commercial vehicle maintenance, repairs, and fleet-related documentation is required.
- Ability to collaborate across departments, and effectively support the Fleet Manager and warehouse team
- Technical skills to understand vehicle mechanics and maintenance needs.
- Proficiency with electronic tracking systems and resource planning tools.
- Customer service skills to effectively support fleet drivers and address their concerns.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Strong problem-solving skills and the ability to make decisions under pressure.
- Ability to handle a large volume of requests in a fast-paced environment.
