Physical Inventory Coordinator
Job Summary
Reporting to the VP of Purchasing, the Physical Inventory Coordinator is responsible for processing orders generated by the sales team; identifying and physically locating parts and making changes to the Enterprise Resource Planning (ERP) software to ensure proper testing and shipping of parts; and managing and maintaining the integrity of the physical inventory within the Avante-Ontario facility.

Essential Job Functions & Responsibilities
- Receives orders from inside sales teams of all business units operating out of the Avante-Ontario facility.
- Pulls items from inventory for service, system, and other parts orders and assists in the order fulfillment process as needed.
- Assures all parts are transferred physically and within the system to the shipping and receiving department once testing is complete.
- Performs periodic audits of selected portions of the inventory to ensure that the data in the ERP accurately mirrors the actual inventory on-hand quantities.
- Maintains the security of the Finished Goods area by cataloging all parts in and out of the secure area in accordance with established company practices.
- Works with the Strategic Inventory Team to identify and locate parts to be tested/fixed to bolster inventory levels.
- Makes transactions to inventory in ERP as needed, including in/out adjustments for harvested parts.
- Ensures accuracy and completeness of paperwork with outgoing parts and equipment to guarantee timely delivery.
- Supports and participates in LEAN (5S) initiatives to streamline processes and maintain organized workspaces.
- Complies with policies, guidelines, and regulatory requirements per ISO:13485 2016 standards and the Company's Quality Management System.
- Performs other duties as assigned.
Experience/Training/Education/Competence
- High School Diploma required; 2-year degree in Business or related field with coursework in purchasing and/or inventory control management preferred
- 1 to 3 years’ professional work experience in inventory control position required
- Strong working knowledge of inventory management software (e.g. ERP) preferred
- Strong working knowledge of Microsoft Office products

Communication: Strong oral and written communication skills Ability to read and interpret documents such as financial journals, operating and accounting instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with customers or employees of the organization. Ability to read through reporting and compliance requirements.
Math & Reasoning: Ability to calculate figures and amounts such as discounts, interest, and percentages. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to carry out instructions furnished in written, oral, or diagram form. Ability to manage multiple projects simultaneously and willingness to adapt to change and take the initiative.
Physical and Environmental Elements
Physical Demands: Ability to sit continuously for over 3/4 of normal work shift, and stand, walk, and reach with hands and arms for at least 1/4 of the normal work shift. Ability to climb stairs. Ability to lift and carry, push or pull up to 20 pounds for several minutes. Ability to stoop, crouch and reach. Ability to talk or hear continuously. Ability to see clearly to do all work-related tasks (clear or corrected vision at 20 inches or less). Finger dexterity is required frequently for over 3/4 of the normal work shift.
Work Environment: Position is typically performed in the office environment with standard equipment and moderate noise levels (examples: computers, printers, fax, copiers, light traffic, and phone); however, will often interact with the production/warehouse environment. Thus, the employee works in a normal office setting and will travel to an open warehouse area where temperatures are subject to outdoor conditions in terms of cold and heat. There is exposure to various tools and equipment as well as forklift operations and corresponding noise levels.
