Overview:
We are seeking a highly organized, detail-oriented Finance and Contracts Assistant to support our construction office operations. The successful candidate will assist with managing subcontracts, credit card programs, accounts receivable and billings. This role requires excellent analytical skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Responsibilities:
Subcontracts:
- Assist in the preparation, review and administration of subcontracts.
- Maintain accurate records of subcontract agreements and amendments.
- Ensure compliance with company policies and contractual requirements.
- Liaise with subcontractors, owners, and project managers to resolve any issues or discrepancies.
Credit Card Program:
- Review and reconcile corporate credit card statements.
- Investigate and resolve any discrepancies or unauthorized transactions.
- Issue cards, train and assist new employees/cardholders to ensure proper use and company policy compliance.
- Maintain accurate and up-to-date records of all cardholders.
Accounts Receivable and Billings:
- Maintain accurate records of all accounts receivable transactions.
- Monitor accounts receivable and follow up with overdue payments.
- Ensure accuracy, prepare and process monthly billings.
- Collaborate with project manager to ensure timely and accurate billing.
- Resolve any billing inquiries or disputes in a professional manner.
- Liaise with software interface company and managers.

General Accounting and Office Operations Support:
- Assist with month-end and year-end closing processes.
- Telephone program updates and training.
- Maintain and assist with new equipment registration and file documentation.
- Maintain up-to-date equipment spreadsheets.
Qualifications:
- Proven experience in a similar role, preferably in a corporate or business setting.
- Strong knowledge of accounting principles and practices.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Knowledge of Sage CRE 300 software preferrable.
- Excellent Analytical and problem-solving skills.
- Strong attention to detail and organizational skills.
- Effective communication and interpersonal skills.
- Ability to work independently and part of a team.
- High level of integrity and professionalism.
