We are seeking a detailed-oriented and organized Administrative Assistant to provide administrative support.
Position Overview:
The Administrative Assistant provides support to Executive Director, Human Resource Manager and general office support to Staff within RTTB. This position reports to the Executive Director and Human Resources Manager. The role requires strong organizational skills, attention to detail and ability to maintain confidentiality.
Key Responsibilities:
· Support the Executive Director with daily operations
· Provide administrative support to ensure efficient operation of office
· Carry out administrative duties such as filing, typing, copying, binding, scanning, DocuSign etc.
· Maintain contact list and manage correspondence. Open/track mail and packages. Scans and sends bills to accounting
· Handle sensitive information in a confidential manner - Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
· Make bank deposits and provide documentation to accounting
· Track Gift cards and receipts
· Implement administrative policies and procedures
· Make travel arrangements for staff such as booking flights, cars, hotels and/or restaurants reservations
· Coordinate with IT department on all office equipment
· Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs and maintenance of equipment
· Order office supplies, keep track of inventory and research new deals and suppliers
· Schedule and coordinate meeting, appointments and video conferences for Staff. Maintain calendar
· Assist Human Resource Manager with the recruitment process by posting job openings, scheduling interview and coordinating candidate communications
· Respond to employee inquiries regarding HR policies, procedures and benefits, providing timely and accurate information
· Assist with HR projects and initiatives, such as employee engagement activities, training program and compliance.
· Organize Employee Appreciation
· Perform or assist with projects and requests as required.

Education and Experience Requirements
- High school diploma or equivalent education required; Associate's or Bachelor's degree in preferred
- 3 years of administrative assistant experience
- Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
- Strong organizational and time management skills, with the ability to prioritize tasks effectively
- Ability to maintain confidentiality and handle sensitive information with discretion
- Valid driver’s license and current automobile insurance
