POSITION TITLE: INFORMATION MANAGER
FZAD Architecture + Design is a boutique architectural interior design office that specializes in creative retail, residential and commercial interior projects. We are seeking an independent and motivated staff member who can work both within a team and think independently. We are a small in-office company of 6 staff members who share information in a creative learning environment. Every Friday we have a team lunch where Principal, Frederic Zonsius, gives a short informational talk on current projects and code.
This position is a multi-task position and would be compelling to an individual who likes to be kept busy and juggle many responsibilities at one time across to do lists and software platforms.
Experience: We are an architectural design firm so some affiliation with this field would make the position more understandable and desirable. This is a position that will involve using different software to achieve the delivery of different kinds of documents. The software is as follows:
1. Excell for budgets and staff time sheets
2. Quickbooks for creating estimates and purchase orders.
3. Autocad to print drawings.
4. Timeslips for payable entries for expenses to clients from staff
5. Project Management for filing and organization of projects as dictated by the architects in the office.
6. Good Memory Skills: Understand client contracts and management of their invoices and deliverables that go with corresponding invoices.
7. This is not a bookkeeping position or an architectural position, this is a clerical and finance position for a person who likes to work with numbers and be organized.
Background Requirements: The applicant would be best served by having a clerical background, a business background for organizational abilities, an IT background managing different software and finally an architectural understanding. The Education background component for this position then is a college degree that would be a liberal arts degree with course work that would touch on these disciplines.
JOB DUTIES/RESPONSIBILITIES
Although the complete recitation of this position’s duties and responsibilities are set forth in the employment agreement this position would accomplish the following tasks including all project management duties of which are required to carry out those functions.
1. ROOFTOP TERRACE DESIGN SALES ORDERS: Working with the architects create sales orders for pedestals, create purchase orders, arrange shipping and follow up delivery of the product to the client’s site.
2. FZAD INVOICING: Working with the principal assist in delivery of invoices and issuing documents with the invoices.
3. INTERIOR DESIGN PURCHASING: Assist Interior Designer for Interior Design and purchasing of product.
4. TIMESLIPS: Assist Principle of the company in data entering of Expenses into Timeslips Program
5. FZAD QUICKBOOKS: Assist Principle of the company in the Collection of Accounts Receivable and preparation of Invoicing and Statements through Quick books and filing away invoices.
6. MANAGER OF INFORMATION: Assist architects in filing and organization of their projects.
7. OFFICE SUPPLIES: Order office supplies
SALARY EXPECTATION
The annual salary for this position is $ 60,000.00.
