Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. This role will involve providing administrative support, managing office operations, and ensuring excellent customer service.
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and handle inquiries
- Manage the office, including keeping it organized
- Schedule appointments and maintain calendars for staff members
- Assist with event planning and coordination
- Provide administrative support to various departments as needed
- Perform data entry tasks, including order entry and maintaining records
- Assist with customer support inquiries and provide excellent service
- Coordinate projects and tasks to ensure timely completion
- Transcribe meeting minutes and other documents as required
Experience:
- Proficiency in QuickBooks for financial recordkeeping
- Familiarity with Google Suite (Gmail, Google Docs, Google Sheets)
- Previous experience working in a medical office is a plus
- Strong organizational skills with the ability to multitask effectively
- Excellent communication skills, both written and verbal
- Experience in event planning or coordination is preferred
- Ability to provide personal assistant support to executives if needed
- Knowledge of project coordination principles and practices
- Computer literacy with proficiency in Microsoft Office Suite
