Job purpose
Manage the preventive maintenance program, assist in leading the workflow in the service dispatch function. Provide support as needed to the service department. Maintain, monitor, update, and schedule appointments to ensure the contracts entered into by work in progress report and its customers are honored, that we complete preventive maintenance when due.
Duties and responsibilities
- Maintain all scheduled maintenance records so that they are accurate and current
- Assist in monitoring workflow for the service dispatcher, ensure all jobs are being done as required
- Respond to phone calls from customers, roadmen, vendors, and internal employees
- Stay in contact with customers and inform them of any changes in the schedule
- Issue purchase orders to vendors for miscellaneous purchases needed to complete jobs (non-parts)
- Expedite item ordered on purchase orders through vendors. If there are parts on order through the Parts Department, maintain contact with Parts Department to ensure timely receipt of parts
- Review Open Order Analysis weekly to ensure all jobs are on schedule and closed and invoiced as soon as they are finished
- Data entry of all PM contracts, machine line cards and updates
- Schedule and dispatch all field service techs assigned to you
- Process and post all outside repair invoices
- Back-up the process of dispatching or assisting road technicians with organization and interpreting work orders
- Back-up the process of preparing work orders for closeout if needed
- Perform projects as requested by Service Manager
Qualifications
Education/Experience
- High School Diploma, but not required
Knowledge
- Microsoft Office Suite, (Word, Excel, PowerPoint, and Outlook)
- Equipsoft, program, (preferred, but not required)
- Some knowledge of our industry
Skills

Working environment
While performing this duty, the employee will be exposed to the usual moderate (general office area) noise level. However, employee can be exposed to noisier shop environments. When performing the duties of this job, it is a requirement to wear Personal Protective Equipment whenever necessary.
Physical requirements
While performing this duty, the employee will required to frequently sit, walk, talk, and listen. The employee is required to frequently use hands to fingers, handle, feel objects, or controls, including products we service, computer, and other office equipment. The employee must often stand, walk, lift, and/or move up to 5 pounds. Appropriate material handling equipment should be used to lift or move items that are heavy or bulky. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Employee will be exposed to staring at a computer screen for long period of time.
