Under the direction of the Human Resources Manager, the HR and Safety Administrator will assist in developing and implementing HR strategies compliant with federal and state laws and aligned with overall business goals. Will carry out responsibilities in functional areas, such as office administration, staffing, employee relations, benefit administration, safety, training, and compliance. Administer safety training programs, tracking of certifications and licenses, workers compensation reporting, and OSHA record keeping.
Essential Functions:

Assist in the administration of general office tasks and HR processes, including greeting visitors, ordering of supplies, drafting and posting job openings, scheduling and assisting with interviews, employee onboarding with a concentration in safety and compliance.

Maintain office/breakroom supplies and order items as needed.
- Initiate and oversee pre-employment background screening process.
- Administer the employee new hire orientation and termination processes.

Administer employee benefits including communication, coordination and processing of annual open enrollment activities and conducting monthly benefit orientation for newly eligible employees.

Provide back-up support to payroll when needed.
- Ensure legal compliance by monitoring and implementing applicable processes for human resource and Safety federal and state requirements.

Purchasing: Handle minor purchases, including supplies and equipment.

Payroll Administration: Process payroll using payroll software

Safety Training: safety training programs for employees, which often include OSHA-mandated topics such as hazard communication, workplace safety, and emergency procedures.

Recordkeeping: OSHA requires employers to maintain certain records related to workplace safety and health.
- Policy Implementation: workplace policies and procedures, including those related to safety and health. Ensuring that these policies align with OSHA standards and regulations is important for maintaining compliance.

Incident Reporting: In the event of workplace accidents or incidents, Documenting and reporting incidents, including compliance with OSHA reporting requirements.

Collaboration with Safety Professionals: work closely with safety professionals or consultants to ensure that the workplace is compliant with OSHA regulations and that safety concerns are addressed effectively.

Janitorial Services: Supervise janitorial staff

Maintain organized records and documentation receipts, invoices, and payroll.

Suppliers Management: Communicate with services suppliers, negotiate contracts, and resolve any issues or discrepancies.

Assistance to Management: Provide support to management as needed, including preparing reports, scheduling meetings etc
Essential Duties and Responsibilities in Safety:
- Evaluate, assess, and update safety procedures and policies to ensure worker safety and compliance with all regulatory requirements and standards.
- Prepare and conduct safety training sessions, documenting employee participation.

Conduct injury and incident inquiries and evaluations and prepare recommendations for incident prevention.

Responsible for OSHA record-keeping and Workers Compensation incidents and reports
Required Education and Experience

Demonstrated written and oral communication skills and ability to communicate with tact and diplomacy.

Capable of maintaining a high level of confidentiality and professionalism in difficult situations.

Excellent computer skills, experience with Microsoft Office and HR software such as ADP and Paycom

Comprehensive understanding of HR best practices, Safety procedures and compliance with state and federal employment laws
- Knowledge of OSHA standards with regards to manufacturing

Strong relationship management skills with the ability to train, influence and motivate team members.

Minimum of 2 years of Human Resources or Safety Administration experience

Bilingual in Spanish a plus.

Work Environment
This job operates in an office and manufacturing setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. May be exposed to warehouse/production environment with limited exposure to machinery.

Position Type/Expected Hours of Work
This is a full-time hourly position. Standard business hours are Monday through Friday 7:00 am to 4:00 p.m.
