Job Title: Medical Assistant
Department: The Caudle Center
A. Summary
Maintains a positive, professional demeanor at all times. Maintains a neat, professional appearance at all times. Greets all guests, customers and patients in a professional, courteous manner. Effectively communicates and assists guests, clients and patients in answering questions related to the facility's products and services.
Efficiently manages facility inbound calls, thoroughly documents messages and directs them to the appropriate person in a timely manner; as well as closes and schedules appointments for physicians and services providers. Manages physician's schedule efficiently and accurately on an ongoing basis.
Accompanies and escorts guests, customers and patients to the appropriate areas of the facility. Collects, verifies, maintains and updates customer and patient demographics on an ongoing basis. Notifies service providers and physician of guest, client or patient arrival and coordinates correct protocol for patient flow logistics for each service. Collects and processes payments for products and services.
Assist physician or other service providers with patient preparation for various cosmetic or medical procedures. Stays informed about all facility products and services; as well as competitor's products, services, pricing and current market trends in the medical aesthetic industry. Promotes facility, physician, and other service providers positively. Attends various continuing education events as required by the manager.
Conducts themselves as a team player. Performs various other tasks as required by the manager or physician to ensure adequate patient flow and the delivery of quality patient care. If you're apart of a team, everything is your job!!!
B. Reporting Relationship
The Medical Assistant reports directly to the Office Manager and provider(s).
C. Position Requirements
- Previous medical office or other professional office experience
- Current, valid Tennessee Certified Medical Assistant License
- Previous aesthetic experience in a medical setting preferred
- Working knowledge of Microsoft Office Suite software and Google
- Previous experience utilizing various medical software applications
- Previous experience as a cashier or processing daily monetary intake
- Previous customer service experience
D. Duties & Essential Job Functions
- Perform all duties outlined in the Job Summary listed for Certified Medical Assistant
- Complete all duties and tasks outlined above efficiently, thoroughly and specifically as outlined, while strictly following the written and implied protocols for any and all facility or job specific policies and procedures
- Perform any additional duties assigned by management during business hours.
- Communicate with manager as needed to maximize work flow by pursuing additional tasks during periods of down time.
- Maintain strict patient and facility confidentiality as outlined by HIPPA; as well as facility policies.
- Collects payments for services.
- Maintain assigned facility keys and assigned passwords discreetly and confidentially, ensuring no possibilities of access to other staff, unauthorized employees, clients, or the general public.
- Inform the Spa Manager of ANY and ALL discrepancies, complaints or general customer service issues.
- Maintain coverage of phones and front desk/retail area if needed.
- Monitor patient waiting areas, restrooms, facility hallways, entrances and kitchen for possible custodial needs; perform necessary custodial tasks daily as needed including but not limited to discarding or removing items left behind by patients; cleaning, sweeping and/or sanitizing floors, counters and other surfaces to keep them free of dust, dirt, debris or contaminants; re-stocking paper goods; emptying waste containers as necessary. Notify manager immediately of any major custodial needs or concerns.
- Perform a monthly inventory of all supplies needed or required in your work area as outlined and in accordance with the Supply Product Policy.
- Complete all tasks and duties in strict compliance with all HIPPA and facility policies.
- Report to the manager immediately with ANY and ALL facility, staff, or customer concerns.
- Be knowledgeable and proficient in all aspects of EMR (scheduling, inventory, personnel, payments, etc.)
- Follow all the policies and procedures in The Caudle Center's employee manual.
- Obtain vital signs when needed.
- Assist in the procedure room consistent with your certification and ability.
- Required to stay until patient's care is completed or relieved of duties.
- Maintains clean and orderly work area and waiting area.
- Attends staff meetings as required.
- Schedules / assists with referral appointments (with other physician offices) and/or procedure appointments for patients (i.e., labs & EKG) as time permits.
- Completes physician orders for requested procedures (i.e., lab work, EKG, X-rays).
- Performs phlebotomy services as needed.
- Ensures all paperwork and consents are completed prior to medical procedures.
- Scans all paperwork into EMR within 1 week of procedure.
- Ensures Deposit has been paid on day surgery is scheduled and final payment is collected or payment arrangements are approved prior to surgery
- Assist patient with selecting garments needed for post-op and order if needed
- Schedule follow up visits for surgery patients
- Sterilizes surgical equipment prior to surgery
- Cleans and prepares OR prior to surgery
- Cleans OR after each surgery
- Properly stores medical waste in biohazard room
- Maintains Biohazard waste pick up schedule
- Works in conjunction with Nurse Practitioner to inspect Crash Cart and report any expired or missing items to Manager
- Inspects and replenishes supplies in exam rooms as needed
E. Education & Experience:
Certified Medical Assistant (AAMA) or CMA (AAMA)
Knowledge of medical terminology preferred.
Knowledge of CPT & ICD-10 codes and billing is beneficial.
Minimum of one-year work experience in medical office setting or similar setting is preferred.
Must have good communication and organization skills and be detail-oriented.
F. Environmental/Working Conditions:
Essential functions of this position are performed within an office environment. There will be occasional requirements to perform duties outside of the office as requested by management, such as but not limited to: community events, promotional events, etc. Conditions can be considered stressful due to the demands of the position in a busy, medical office. Interaction with others is constant and interruptive.
G. Physical Demands:
Work will require hand dexterity for keyboard, telephone and various other office equipment operations. Excessive standing and walking will be required in order to assist and accompany customers while in the facility. The ability to bend or stoop while operating equipment may be required. The ability to lift up to 50 lbs may be required for certain functions of this position.
