Position Overview:
The Office Manager / Accountant at Peak Contractors plays a vital role in ensuring the efficient operation of our administrative functions. This position involves overseeing day-to-day office operations, managing documentation, providing financial administration support, facilitating communication, and handling various administrative tasks. The Office Manager / Accountant serves as a central point of contact for internal teams, and clients, contributing to the overall success of our construction projects.
Key Responsibilities:
- Office Operations Management:
· Oversee daily office operations, including managing correspondence, scheduling appointments, and coordinating meetings.
· Maintain organized filing systems for contracts, permits, and project documentation.
- Financial Administration:
· Manage the payroll process, accounts payable, and receivable tasks.
· Track expenses, manage budgetary requirements, and assist with financial reporting as needed.
- Communication Coordination:
· Act as a liaison between office staff, project teams, management, clients, and vendors.
· Ensure effective communication channels are established and maintained.
· Provide administrative support to senior management and project teams.
· Handle special projects and assignments as delegated by management.
Qualifications:
· Minimum of 3 years of experience in office management, administrative support, or a related field.
· Proven track record of successfully managing office operations and administrative tasks.
· Previous experience in the construction industry or a similar field is preferred but not required.
· Accounting degree preferred.
· Exceptional organizational abilities with meticulous attention to detail.
· Ability to prioritize tasks effectively and manage time efficiently.
· Experience maintaining filing systems and managing documentation accurately.
· Excellent written and verbal communication skills.
· Ability to communicate effectively with internal teams, clients, vendors, and stakeholders.
· Strong interpersonal skills and the ability to foster positive working relationships.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Familiarity with accounting software for tasks such as payroll processing and financial management.
· Experience with project management software is a plus.
· High level of professionalism and integrity in all interactions.
· Ability to handle confidential information with discretion and maintain confidentiality.
