Job Title: Receptionist
Reports To: Surgical Oncology Supervisor
Location: Northwest or North-Central Arkansas – Depending on the position, employees may be asked to move locations from time to time based on clinic and patient needs.
FLSA: Non-exempt/hourly
Job Summary: The Surgical Oncology Receptionist is responsible for delivering excellent patient care first and foremost, running an efficient and professional front office, processing payments and other customer paperwork, assuring professional communication between staff and patients, and fostering a spirit of teamwork.
_ Job Duties / Responsibilities:_
- CUSTOMER SERVICE/ADMINISTRATION
- 1. Embodies the Highlands Oncology Mission Statement by ensuring our patients’ safety and experience are the top priority, working with integrity, continually evolving, and learning, and collaborating as a team to create a challenging and rewarding culture.
- 2. Manages scheduling, invoicing, billing, assists intake and scheduling coordinators to help the clinic run smoothly and efficiently.
- 3. Ensures exceptional customer service for everyone that enters Highlands Oncology, in person or via phone, including patients and visitors.
- 4. Greets patients, introduces them to the center, and ensures schedule reflects appointment status.
- 5. Ensures patient is properly checked-out, next appointment is scheduled, and an appointment reminder is printed and provided.
- 6. Introduces patients and visitors to appropriate personnel that can assist with any concerns.
- 7. Conducts confirmation calls for appointments at least 2 business days in advance for any patients not confirmed by the automated calling/texting system. Updates status of appointments and enters special notes as applicable.
- 8. Assists in obtaining information from patients and/or medical personnel as directed by medical staff to complete any medical forms.
- 9. Ensures excellent communication with the nursing staff to ensure all patient’s expectations are met throughout the entire Highlands Oncology experience.
- 10. Prepares new patient chart packets in advance of the visit according to scheduled appointment times to ensure patient and staff time is efficiently utilized.
- 11. Acts with integrity to maintain patient confidentiality and always ensure HIPPA compliance while maintaining PHI Disclosure records.
- 12. Responsible for the confidentiality, security, and physical safety of patient and clinical records.
- 13. Monitors the collection, processing, maintenance, storage, and appropriate access to and usage of patient and clinical records.
- 14. Maintains and organizes the secured record format according to policies and procedures.
- 15. Organizes and prepares any filing or correspondence (i.e., faxing, etc.) tasks as necessary to include correspondence and patient files.
- 16. Reviews clerical and billing records to ensure completeness, accuracy, and timeliness.
- 17. Ensure the Reception area and lobby are clean and always organized.
- 18. Performs opening/closing duties as directed.

- MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
- REASONING ABILITY:
- 1. Ability to problem solve and clarify necessary steps of logic and reasoning in a professional manner. Intellectual acuity is a necessary qualification.
- 2. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
Certifications/Licenses/Education/or Experience in a related field
- Education/Experience (including but not limited to the following):
- 1. High School Diploma or GED
- 2. One to three months medical office experience preferred.
- 3. Proficient in use of EMR (electronic medical record) preferred.
- 4. When acting as an interpreter, must be proficient in speaking and understanding both spoken English and Spanish, including any necessary specialized vocabulary, medical terminology, and phraseology, and ability to communicate effectively, accurately, and impartially with individuals with limited English proficiency. Interpreter must have passed course in medical interpretation to function as interpreter.
