Boone High Country Rentals is seeking a Full-Time Property Coordinator for a busy property management office.
Job Summary:
The Property Coordinator provides organizational and administrative support for the Operations Management Staff as it relates to the properties, administering move-in and move-out assessments, and preparing lease and management documents in accordance with established company guidelines. As a Property Coordinator, the primary responsibility is drafting contracts and communicating with owners of properties. The Property Coordinator reports to the Broker In Charge.
Qualifications Needed:
- Clear and effective writing and speaking skills for communications over the telephone, email, text, and/or in person
- Manage a positive, client-oriented and professional attitude with clients, co-workers, tenants, and the general public
- Flexible and able to juggle changing priorities with short notice
- Proficient technology skills, including but not limited to, using a laptop, camera, Smartphone, Microsoft Office, Social Media platforms, and the company property management software
- Must have reliable transportation
- Must have a valid driver's license
- This position is Monday – Friday, with some nights and Saturday work as needed
- Must pass a criminal background and drug test for employment
Job Duties
- Establishing a positive first impression, with a strong customer focus on service, and a hospitality mindset with a positive attitude
- Secondary point of contact for prospective, current, and future tenants
- Primary point of contact for current single-family owners
- Tenant & Owner Communications via phone (voice mail), email, text, AppFolio, and Social Media, and in-person
- Meeting and Greetings Tenants/Owners and assisting as needed
- Tracking of vacant properties to fill including marketing to prospective Tenants
- Tenant Inspection & Compliance with lease provisions including pre-move-in, quarterly, and move-out inspections
- Light clean-up of properties during inspections, interior and exterior, as situations arise
- Onboarding new properties including file transition and communications
- Oversee the pre-leasing process for all tenants and prospective tenants
- Oversee the lease transfer process for current and prospective tenants
- Verify pet and animal compliance with 3rd party software
- Completing lease and owner contracts
- File audit and compliance for tenants, leases, owners, and property information
- Reconciling contract dates for both leases and property management agreements
- Reconciling insurance requirements with tenants and owners
- Assist with obtaining estimates from vendors
- Notifying owners of maintenance items needed including gaining approvals as needed
- Relaying any property information to owners on a regular basis including inspection updates
- Constantly strive for improvements in the work process
- Key maintenance and organization
- Updating all spreadsheets with accurate communications
- Front desk coverage as needed, assisting with phones and walk-ins
- Internal communication between leasing, maintenance, and accounting departments
- Communicating in the group chat for any and all updates
- Working together with the team in a cohesive way
- Exceeding Service Expectations with Tenants, Owners, and Vendors
- File Systems and Organization
Job Type: Full-time
Pay: $14.00 - $17.00 per hour
Expected hours: 40 per week
