Job Title: Administrative Assistant
Summary/Objective:
GeoPoint Surveying, Inc. is a land surveying firm with multiple locations, specializing in land development, remote sensing, energy, geospatial mapping, commercial surveys, and subsurface utility engineering.
The Administrative Assistant performs a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Project Survey Managers, assisting in daily office needs, and managing daily general administrative activities. Administrative Assistant responsibilities also include being the backup to the receptionist, answering and directing phone calls, updating project list and data entry, and preparing proposals. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of the office.
Essential Job Functions:
- Backup to Receptionist: answering overflow calls, direct phone calls, take messages, and sitting at the front desk in absence of Receptionist
- Project entry into accounting software
- Handle heavy load of emails, correspondence memos, and proposals to Project Survey Managers and clients in a timely manner
- Update project list for weekly production meeting
- Maintain GeoPoint’s filing system
- Prepare proposals using templates and information given by Project Survey Managers
- Provide general support to Project Survey Managers and clients
- Liaise with executive and senior administrative assistants to handle requests and queries from other Project Survey Managers
Qualifications and Skills:
- Knowledge of office management systems and procedures
- Proficiency in Microsoft Office: Word, Excel, Outlook
- Working knowledge of office equipment, like printers
- Proficiency in Adobe and DocuSign
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
Experience Level:
- Minimum of 2 years of Administrative Assistant
Physical Demands:
- Frequently sit, stand, or walk
- May lift, carry, push, or pull objects of various weights
- May reach, kneel, crouch, bend, or twist
- Some other physical demands may come up
Work Environment:
- Desk/Workstation may be located in a confined area
- Moderate noise indoors/outdoors (i.e., computers, phones, printers, and traffic)
- Able to work overtime and some weekends
- Able to work well in a team environment as well as being self-motivated and driven
Travel:
- Some travel may be required

Pay: $20.00 - $28.00 per hour
