Job Summary
Provide thoughtful, proactive and senior executive level administrative support to the President and Chief Operating Officer (COO) in a fast-paced and rapidly growing insurance company. You would also work closely with the rest of the Executive Team and provide occasional administrative support to the Shareholders and Board of Directors of the Company. While insurance knowledge is beneficial, this position emphasizes high-level administrative, executive, and strategic planning support functions.
Proficiency in the MS Office Suite, advanced organizational skills, and a strong ability to multi-task effectively are essential for success.
Responsibilities
· Calendar management and scheduling
· Preparation of agendas, and minute or note taking for various meetings
· Coordination of travel arrangements
· Monthly expense reports for the President
· Maintain comprehensive and accurate records (i.e., Compliance Calendar, Complaint Logs for Claims and Underwriting, etc.)
· Maintains effective and accurate filing systems and retention of Company records
· Assist COO with HR tasks
· Event planning, including Employee Appreciation Week, Team Week, community outreach, birthdays, work anniversaries, holidays, etc.
· Maintains and orders office supplies
· Special projects as assigned
Qualifications and Requirements
· 3-5 years prior administrative experience supporting a Senior Executive or Executive Team
· Proficiency in MS Office Suite; experience with Smartsheet and Jira considered a plus
· Exceptional Written and Verbal Communication skills
· Proactive Problem-Solving and Critical Thinking abilities
· Strong Ability to Anticipate and Attention to Detail
· Excellent Time Management and Prioritization skills
