Financial Executive Assistant
JOB SUMMARY:
An employee with responsibility/accountability for leading and managing a physician’s organizations. Instrumental in defining the mission, goals, and performance standards each entity. Utilizes knowledge of organization policies, procedures, and systems. Uses skills in planning, organizing, delegating, and supervising. Must work effectively with physicians, staff, patients, public and external agencies. Uses skills in gathering and interpreting data in a physician office setting. Must have ability to take initiative and to exercise independent judgment, decision-making and problem-solving expertise.
ESSENTIAL FUNCTIONS
- Manage the CEO’s agenda and inbox, and coordinate meetings, travel arrangements and expense tracking.
- Assist with other administrative tasks, filing expenses, formatting documents, etc.
- Complete bank reconciliations
- Responsible for overseeing and maintaining compliance with grant-mandated systems
- Maintaining files, preparation for audits, and creating cost analysis reports (fixed and variable costs)
- Record accounts payable and accounts receivable while ensuring accurate and regular bookkeeping
- Process invoices and follow up with clients, suppliers and partners as needed
- Monitor and maintain supply inventory, coordinate purchases, submit purchase orders, allocate expenses, and monitor vendor balances
- Assist with accounting functions and coordinating all deposits and expenses to be submitted and posted timely
- Assist with grant applications, reports, budget tracking, and billings
- Assist in recording cash and in-kind contributions and maintaining database of contributors for mailings and solicitations to support programs
- Other duties as assigned

QUALIFICATIONS AND EXPERIENCE:
- Bachelor's Degree in Accounting, Non-Profit Management, or related field. Minimum of 2 years of relevant experience may substitute for a degree.
- Strong computer skills and proficiency in Microsoft Office
- Highly organized with attention to detail
- Able to work independently & responsibly
- Excellent communication skills, both oral and written
- Enthusiasm, Positive Attitude, Team Player, Flexibility, & Creativity
- Ability to listen, take direction, and make sound decisions
- Ability to organize and implement both short-term and long-term projects and programs
Job Type: Full-time
Pay: $80,000.00 - $100,000.00 per year
