POSITION OVERVIEW
Newburyport Adult & Community Education (NACE) is seeking a part-time Administrative Assistant to support the Director. NACE is a fully self-supporting program run under the auspices of the Newburyport Public School System. We operate independently and our budget is funded primarily by class fees. Our mission is to provide lifelong learning opportunities for all.
Under the supervision of the Director of NACE, the Administrative Assistant helps to ensure the smooth flow of the program by performing various organizational and administrative tasks.
This position is 25 hours per week Monday – Friday. Includes up to three evenings max at the Nock Middle School in Newburyport when classes are in session. Background CORI check and finger printing required.
RESPONSIBILITIES
Assist in scheduling and managing details of large calendar of classes utilizing Google Suite
Coordinate the compilation of catalogue that is produced three times per year, including writing and editing within strict deadlines
Create social media posts
Track all student registrations including online and checks
Process timely and detailed deposits and other financial reports as requested
Submit and track invoices
Troubleshoot problems as they arise and make adjustments as needed
Manage and track all required teacher and student forms
Build and maintain positive relationships through ongoing communications with teachers and students
Collaborate on the evaluation and brainstorming of new class offerings to increase revenue
Work in concert with director and webmaster
SKILLS REQUIRED
Ability and commitment to working as a team player in a small office
Positive attitude with ability to take direction
Proficiency with Google Suite - Sheets, Docs, Drive, etc., as well as Excel and Word
Tech savvy
Advanced social media skills including Facebook and Instagram
Stellar attention to detail
Exceptional organizational skills and precision in managing many detailed reports
Excellent time management skills
Strong writing and editing skills
Proactive with solid follow-up skills
Customer service oriented
Confidence in juggling multiple competing priorities and ability to quickly switch gears
Open and honest communication skills, both written and verbal, with director, students, instructors and school staff
Other duties as required
QUALIFICATIONS
Bachelor’s degree
3-5+ years of experience in program management, event planning or similar capacity
Minimum of 2 years of experience utilizing Google Suite is a must-have
High energy and comfortable representing NACE in the community
Knowledge of greater Newburyport with existing community relationships
Experience in business operations and detailed financial reporting
Solid understanding of and commitment to the importance of adult learning
Sales and/or fundraising experience a plus
Due to the nature of the position, candidates living in the Newburyport area with close proximity to the school will be given priority.
