We have an immediate opening for a Sales Operations Coordinator in our Sales Department working with our sales, logistics and operations professionals. This position is an essential part of of the development and implementation of corporate strategy for business development and Sales. Acting as a liaison both internally and externally, this position will encourage and practice effective communication among various departments and interact directly with clients and prospects.
Top priority for this position is to help impact the bottom line by assisting in generating new opportunities for Diligent and increase Revenue for the company. This will include all duties below and additional assignments when needed. The successful candidates will play a critical role in assisting the team. Ideal candidates must have relevant experience providing an excellent experience for customers and partners, while multi-tasking, prioritizing, and managing time effectively. The ideal candidate must have previous sales experience in a support role within a sales department, preferably in logistics, supply chain or transportation.
Position is in-office and no remote or hybrid work consideration.

Job Responsibilities (this list is not all inclusive; other duties as assigned):
Assist Sales in all administrative assignments to help with the growth of the organization.
Receive and complete Corporate new business inquiries. This includes answering all questions and working with analytics on data mining.
Manage and Coordinate All RFP projects and create timelines and distribute tasks to other departments as needed.
Request for Pricing/Proposals (RFP)
Request for Information (RFI)
Assist in the research, creation, and completion of RFP’s, RFI’s and RFQ’s.
Work on routing for existing clients and RFPs with mapping software.
Maintain RFP library.
Perform Market research and conduct Prospect inquiries.
Send to Prospects completed proposals from the CGO and BDM’s
Send to Prospects credit application for approval (Freight/Hot Shot)
Follow SOP on completing the on-boarding process and set up for new clients
Contact New client and welcome them to Diligent
Verify AP contact and where Invoices are sent
Enter new client into ZOHO CRM for future tracking
Prepare New Client “Welcome” Box from Mr. Browne
Order Paper weight from A-Z
File Agreements and New Client Documents in Share drive and CRM.
SOC will follow up with New and Current clients and will:
- Follow up on appointments set for BDM’s and Managers
- Survey potential customers after first appointment with BDM & managers
- Make CRM Calls
- Ask for Referrals
- Assist in the research, creation, and completion of RFPs, RFIs, and RFQs.
SOC will be required to update all customer contact info and follow up into the Diligent CRM program (Zoho CRM) All notes and activities must be entered and tracked.
Assist the CGO of Sales and BDMs with sales agreements, proposals, sales leads lists, as well as providing support to the sales team.
Will be required to assist in marketing campaigns
Utilize and manage the CRM system to manage sales campaigns and prospective customers.
Assist in researching target markets for optimal ways of promoting our services (ZOOM Info)
Manage and Coordinate All RFP projects and create timelines and distribute tasks to other departments as needed.
Coordinating sales orders to ensure new client on-boarding and process completion.
Providing administrative, technical, and clerical support to sales team
Maintaining and updating daily, weekly & monthly sales activity reports
Creating sales presentations and proposals to be used in customer meetings.
Type Correspondence, Obtain Information from Customers, Maintain Records, Reports and Files
Preparing communications and proofreading documents
Facilitating the promotion of company products and services
Collect data and maintain monthly sales commission reports and complete such reports for approval by management.
Order all company business cards for new hires & existing employees.
Organize ZOHO CRM for optimal use for CRD and Account Managers
Make changes to ZOHO CRM and New Client Checklists as needs change.
Update presentations & forms to be Diligent processes and branding.
Train new hires on CRM system
Performing other projects and tasks as necessary for the Sales Department.
Education, Skills and Qualifications:
- Bachelor's degree in Business Administration or related field
- Proven experience in sales operations or related roles
- Strong analytical skills with the ability to analyze complex data sets
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- Experience with CRM systems (e.g., Zoho) and analytics tools
- Knowledge of business analysis methodologies and tools
- Excellent communication skills, both written and verbal
- Strong project management skills with the ability to prioritize tasks and meet deadlines
- Ability to work collaboratively in a cross-functional team environment
