We are looking to fill a full time position in the front office, for check-in and check-out at our Centerville location. Full time being 40 hours per week Monday-Friday and the shift we are looking to fill is 6:30a-3p. These hours could vary depending on the office needs.

Reports To: Front Office Supervisor
Basic Function
Responsible for greeting incoming patients and visitors, relaying incoming telephone calls, scheduling appointments, processing medical records and performing various clerical duties in a professional manner. Has access to patient’s charts to perform job functions listed below.
General Responsibilities:
- Covers all positions within department as needed.
- Shift times vary from 6:30a – 5pm as assigned by management.
- Covers teammates for breaks or as needed by management.
- Assists patients/caregivers with directions and misc. questions/typing patient cases/able to professionally deal with difficult individuals and able to professionally turn away patients as outlined by office policy.
- Provides exceptional costumer services face to face and via phone queues.
- Understands all aspects of HIPPA, Section 1557, Interpreter policy, Code of conduct and Fraud.
- Understands the DCND website and Patient Portal.
- Understands scheduling policies and accepted insurances as outlined by office policy and covers queues as needed.
- Able to accurately schedule all appointments and completes proper documentation on all appointments as outline in scheduling polices
- Appropriately transfers calls and understands workflow of clinical inbox and how to process patient cases accurately.
- Ready to work designated shift time with 30-minute lunch (unless another schedule is agreed upon with the manager in writing in advance)
- Report’s absences/personal appointments/time off 2 days in advance to the manager in writing.
- Able to understand and follow DCND policies and procedures.
- Able to change as the need of the DCND warrants such change.
- Perform other related duties as assigned.
Front Desk and Check out Responsibilities.
- Opens/closes offices.
- Maintains waiting room maintenance.
- Monitor’s office, janitorial/ kitchen supplies, and reports to manager
- Maintains proper work functions of the postage machine.
- Able to process certified mail, packages/package distribution- accepts all packages.
- Scan/ barcodes documents into Athena, mail out MRI discs and processes new referrals.
- Confirms and checks accuracy of appointments with proper documentation: type, date, time, and location.
- Able to complete job functions for both patient check ins/check outs.
- Collects co-pays, balances, bill payments and reconciles payments collected.
- Understands insurances and their respective policies regarding DCND and is able to update insurance packages as needed.
- Able to register new patients and updates demographic information at each visit.
- Collects and ensures completion of all documents needed to treat/speak to patients/caregivers/providers prior at check in
- Completes daily tasks: bin assignments, ticklers, waitlist, workflow dashboard, after hours phone line and no shows.
- Understands all aspects of medical records and can cover if needed.
- Able to explain after-visit care: testing, outside referrals, facility information, prior authorization process, understands general DCND testing and facility information.
- Schedules DCND appointments and testing at TOS prior to patients leaving the office.
Medical Records Responsibilities
- Answers medical records calls and checks voicemail daily
- Processes medical records requests and DCND letters daily
- Processes insurance audits
- Able to answer questions regarding medical records policies/fees/ paperwork processing turnaround time
- Records HIPAA violations
- Updates new provider information in Athena

Education/Training: Degree: High School Diploma or Equivalent
Experience: Prior Medical Office experience is preferred
