We are a thriving multi-disciplinary mental health private practice seeking an individual to lead a team of caring and compassionate client service representatives, as well as be an integral part of the front desk team. The ideal candidate will manage employees and the day-to-day operations of the front office at our Munster & Merrillville locations. What you’ll do:
The Front Office Lead will manage the day-to-day operations of the front desk team. Part of the candidate's responsibilities will include greeting and welcoming patients as they check in to the office, answering phone calls, managing and scheduling provider appointments, assisting providers with questions or concerns, utilizing medical office software to check patients in and out, and collecting co-pays and patient balances.
Implement New Procedures and Protocols: Be innovative and proactive. Ensure we are always looking at new ways of implementing new processes to help improve our patient experience and the financial viability of our clinic.
Leadership and Training: Lead, coach, mentor, and train our amazing client service representatives. Your guidance will help them succeed in their roles and provide the best service possible to both our providers and patients.
Communicate Effectively: Keep the clinical director in the loop. Whether it's updates, issues, or concerns, your clear communication will ensure everything runs seamlessly and efficiently.
Creating Measurables: Ensuring our team is always improving! Implementing measurable metrics for the front desk staff is crucial for monitoring performance and driving improvement. These measurables could focus on collections, ensuring financial goals are met, or customer satisfaction, which is key to retaining clients. Establishing clear, attainable goals will provide staff with a sense of direction and purpose.
Culture and Motivation: Develop a culture among customer service representatives (CSR) that is meaningful and motivating. Create an environment where the CSR team feels valued and inspired to perform their best. Introducing regular training sessions, team-building activities, and recognition programs can significantly boost morale and motivation.
What we are looking for:
Experience: Previous experience in a healthcare and customer service environment is a plus!
Leadership Skills: Lead by example! It is a plus to have the ability to lead and motivate a team. Always recognize the front desk staff for their hard work and achievements and ensure they are provided with guidance and support.
Organization: In a constantly evolving and expanding practice, organizational skills and the ability to multitask effectively are essential for success.
Customer Service Oriented: Great customer service skills and a passion for working with people.
Problem Solver: Must be able to be a quick thinker and come up with solutions.
Tech-Savvy: Must be comfortable with technology and practice software. Proficient in Word and Excel.
