Overview:
We are seeking a compassionate and organized individual to join our team as a Front Office and Patient Care Coordinator for our Facial Plastics Practice. As aFront Office and Patient Care Coordinator, you will play a crucial role in providing exceptional customer service and support to our patients throughout their journey with us. You will serve as the face of Face Forward performing front desk duties in addition to being a primary point of contact for patients, guiding them through the process from initial consultation to post-procedure care, ensuring a seamless and positive experience.
Responsibilities:
Front Desk:
- Answering phones
- Greeting patients, checking patients in and out for clinic visits
- Creating a friendly and positive atmosphere as patients come in to the clinic
- Accompanying patients to rooms
- Assisting the patient care coordinator with quotes and consults
- Helping with the flow of clinic, including preparing rooms
- Taking patient photos
- Keeping the common areas clean and comfortable during clinic
- Loading patient photos into secure storage system
- Cropping photos for social media and website
- Creating social media posts from Before and After photos
- Working with surgeons to create social media video
- Posting to several social media platforms
Patient Consultations:
- Schedule and coordinate patient consultations with our facial plastic surgeon.
- Assist patients in completing necessary paperwork and forms.
- Educate patients by phone and in person consults about the surgical procedures, this includes what to expect pre and post op, potential risks, recovery and manage expected outcomes.
- Work closely with the surgeon to develop personalized treatment plans for patients based on their needs and goals.
Scheduling and Coordination:
- Work with the Patient Care Coordinator to schedule surgical procedures, treatments, and follow-up appointments.
- Schedule and coordinate surgeries with hospitals and surgery centers
- Communicate effectively with patients to ensure they understand their appointment schedules and any necessary preparations.
- Collaborate with the surgical team and other staff members to optimize scheduling efficiency.
Financial Counseling:
- Work with the Patient Care Coordinator to provide estimates and invoice information to patients for procedures and treatments.
- Assist patients in understanding the costs, insurance coverage (if applicable), financing options, and payment plans.
Patient Support and Communication:
- Serve as a compassionate and knowledgeable resource for patients, addressing their questions, concerns, and inquiries promptly and professionally.
- Maintain open lines of communication with patients throughout their treatment process, providing updates and guidance as needed.
- Foster a supportive and empathetic environment to enhance the patient experience.
Administrative Tasks:
- Maintain electronic medical records and ensure documentation accuracy and completeness.
- Perform other administrative duties as assigned by management.
Qualifications:
- Education and Experience: Bachelor's degree in healthcare administration, business management, or a related field. At least two (2) years experience in a clinical or a medical office. Previous experience as a PAtient Care Coordinator, preferably in a plastic surgery practice, is highly desirable. Bi-lingual in Spanish is a plus.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients, staff, physicians, and external businesses.
- Organizational Skills: Exceptional organizational and time management abilities, with a keen eye for detail and the ability to prioritize tasks effectively.
- Technology Proficiency: Proficient in using electronic health record (EHR) systems, practice management software, and the Google and Microsoft suite of tools.
- Customer Service Orientation: A commitment to providing exceptional patient care and service, with a focus on fostering positive patient experiences and relationships.

Pay: $19.00 - $30.00 per hour
