This position will provide administrative support to the Project K.I.N.D. Program Manager, School District Partners, Healthcare Providers and Parents. Expert level written and verbal communication skills are a must. Should clearly understand the mission of Project K.I.N.D. and demonstrate exceptional customer service to all service recipients and service partners. This position will work collaboratively with all affiliate organizations to support program objectives.
At least two years of clerical experience or healthcare front office position preferred.
Proficiency in both English and Spanish is REQUIRED.
Responsibilities include:
- Answer phones and assist callers in a courteous and respectful manner.
- Process all incoming referrals using the PK referral process.
- Communicate the outcomes of referrals to school district nurses.
- Maintain inventory of office, dental, and promotional items.
- Case manage dental, medical, and vision referrals until care is completed.
- Complete daily reminder calls to parents.
- Enter all collected data into the PK online database weekly.
- Assist with planning and executing coalition meetings.
- Present to school nurses to deliver training on our program and provide updates.
- Prepare for meetings by setting up and cleaning up.
- Prepare and gather all necessary items for community/school events.
- Prepare packets for all presentations scheduled for the Program Manager.
- Maintain relationships with community partners and program volunteers.
- Prepare for dental clinics, transport dental supplies to clinics, assist at dental clinics, schedule and confirm appointments, and track follow-up appointments.
- Ensure all Patient Care Forms are returned completed and signed from providers’ offices.
- Assist the Program Manager with various projects.
- Perform all other duties as assigned.
MINIMUM QUALIFICATIONS:
Education/ License: High School Diploma or equivalent required. AA degree preferred.
Experience:
At least two years of clerical experience or healthcare front office position.
Experience in database management
Knowledge/Skills:
Strong computer skills, experience in Microsoft Office and Excel, detail oriented, customer service.
Bilingual in English/Spanish REQUIRED
Position requires a valid driver’s license and must provide proof of automobile liability insurance coverage. Some automobile travel within California is required.
Must have a clear criminal record (ability to clear through DOJ).
ESSENTIAL FUNCTIONS
Physical Activities:
While performing the duties of this job, employees are regularly required to sit, bend, squat, walk and stand; talk or hear, both in person and by telephone. Operate standard office equipment; reach with hands and arms; and lift up to 30 pounds.
Dexterity of hands and fingers to operate a computer keyboard, mouse and other devices and objects.
