Position: French Program Executive Assistant (Full-Time)

Position Summary: The Executive Assistant is a critical member of the success of the French Program, supporting the Proviseur, French Instructional Coach, teachers, and students at the Early Learning Center, Lower School, and Secondary divisions at Awty. The role provides administrative and clerical support to ensure the smooth operation of the French program. Duties include facilitating communication and coordination within the program and between various stakeholders while contributing to the organization and execution of program activities and events. This role and the organizational skills required to execute the duties are essential in facilitating the efficient day-to-day operations of the French program.

Collaborates & Works Closely With: French Instructional Coach, Divisional Assistants, IT, Business Office
Preferred Qualifications:
- Strong organizational skills and meticulous attention to detail.
- Excellent communication and interpersonal skills in English and French (fluency preferred)
- Ability to prioritize tasks, work independently, and manage multiple deadlines effectively

- Proficient in computer skills and comfortable using various software applications
- Experience in an educational setting
Responsibilities:
- Manage student files (certificates, updates)
- Coordinate pre-entry/return/end-of-year processes
- Support students with scheduling inquiries and onboarding questions
- Support the Proviseur in organizing internal and external meetings or events
- Oversee scholarship applications and maintain accurate data on French program staff and students
- Manage updates for French Ministry Applications (Cyclades, MAGE, Colibri, and PRF platforms) (“enquêtes de rentrée, enquêtes lourde,”...)
- Coordinate specific professional development activities with AEFE and MLF by managing registration and travel for teachers and leaders
- Assist with collecting required information for school reporting and accreditation
- Manage schedules/appointments for the Proviseur
- Assist with travel arrangements for the program and manage logistics for specific school events, which includes catering, room reservation, communications, etc.
- Order necessary supplies, and track expenses
- Submit invoices to the Business Office and manage receipts to comply with school finance procedures
- Provide requested documentation, diploma, or certification archives when requested
- Work with IT to support student scheduling and report card dissemination
- Reserve testing rooms, disseminate invitations, and coordinate examiner travel logistics for exam preparation
- Organize required documentation and exams to transfer to other schools for transfer students
- Manage FP faculty files (visas, French documentation: Détachements, disponibilités, retraites, congés), and facilitate onboarding of J1 visa holders under HR Director supervision.
