Job duties for a receptionist
1. **Greeting Clients:**
- Welcome clients and visitors in a professional and courteous manner.
- Ensure clients are comfortable and assist with any initial inquiries.
2. **Answering Phones:**
- Manage a multi-line phone system, answering calls promptly and professionally.
- Direct calls to the appropriate staff member or take detailed messages.
3. **Appointment Scheduling:**
- Schedule and confirm appointments for clients and attorneys.
- Maintain an organized calendar for conference rooms and other shared spaces.
4. **Client Intake:**
- Assist with the client intake process, including collecting and verifying necessary information.
- Prepare and distribute intake forms and other necessary documentation.
5. **Document Management:**
- Handle incoming and outgoing mail and packages.
- Scan, file, and maintain electronic and physical documents in an organized manner.
6. **Administrative Support:**
- Provide general administrative support, such as photocopying, faxing, and preparing documents.
- Assist with the preparation of legal documents and correspondence as needed.
7. **Maintaining the Reception Area:**
- Keep the reception area tidy and presentable.
- Ensure that reading materials and refreshments are available for clients.
8. **Client Communication:**
- Communicate with clients regarding their appointments, case updates, and other inquiries.
- Provide information about the firm's services and direct clients to the appropriate resources.
9. **Billing and Payments:**
- Handle client billing inquiries and process payments.
- Assist with the preparation and mailing of invoices.
10. **Record Keeping:**
- Maintain accurate records of client interactions, appointments, and communications.
- Update client information in the firm's database.
11. **Office Supplies Management:**
- Monitor and order office supplies to ensure the front desk and office are well-stocked.
- Coordinate with vendors for supply orders and equipment maintenance.
12. **Conflict Resolution:**
- Address and resolve client concerns and complaints with professionalism and empathy.
- Escalate issues to management or attorneys as necessary.
13. **Confidentiality:**
- Handle sensitive information with the utmost discretion and maintain client confidentiality.
- Adhere to the firm's confidentiality policies and procedures.
14. **Team Collaboration:**
- Work closely with attorneys, paralegals, and other staff to ensure smooth office operations.
- Participate in team meetings and contribute to office projects and initiatives.
15. **Technology Management:**
- Use office software and equipment proficiently, including phone systems, computers, and copiers.
- Troubleshoot basic technical issues or coordinate with IT support as needed.

Job Types: Full-time, Part-time
Pay: $14.75 - $19.00 per hour
