General Summary:
Under limited supervision, provides support to the assigned division(s) by performing a wide variety of coordinator functions such as organizing and maintaining documents, coordinating engagement activities and communicating necessary information.
Essential Duties and Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Receives assignments in the form of results expected, due dates, and general procedures to be followed.

Maintains filing system for assigned division(s) by scanning, filing, labeling, sorting, storing, destroying and overall managing documents in accordance with the Document Retention Program and acting as the division(s) Document Retention Coordinator.

Composes, types, and posts a variety of correspondence such as postings, letters, documents, memos, or reports, as the local coordinator of communications, including administratively supporting managements decisions with corrective action/discipline issues.

Collects, sorts, and distributes division mail, as well as collects and deposits mail.

Copies a variety of materials as necessary; collects and distributes payroll for division.

Makes arrangements for meetings, seminars, and other special services to include typing meeting notices, communication and implementation.

Assists with the development of materials for various Board and Executive staff presentations.

Maintains departments processing, tracking, and reporting on various division invoices or reports.

Responsible for the distribution of literature, gifts, apparel, refreshments, supplies, and awards as needed by the division(s).

Works closely with the Engagement team to organize and implement local meetings, events, and recognitions for their assigned division(s).

Performs other related duties as assigned.
MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Note: An equivalent combination of related education and experience may be substituted for the below stated minimums excluding High School Diploma, GED, Licenses, or Certifications.

High school or general education diploma (GED) plus one (1) year specialized commercial, technical, or vocational training outside of high school in office automation.

Two (2) years progressively responsible experience involving management of projects, data analysis, office administration and other related monitoring and analysis activities.

Pass a physical (medical) examination that includes a drug screen in order to operate DART non-revenue vehicles.

Proficient using personal computer (PC) and software applications.

WORKING CONDITIONS:
Works in an environment where there is exposure to dust, noise, or temperature. May be exposed to unpleasant working conditions to include dust, noise, temperature, weather, petroleum products, and chemicals, assuming incumbent is observing all policies and procedures, safety precautions and regulations, and using all protective clothing and devices provided.
