Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting our daily operations and ensuring smooth office functioning. Will provide a broad range of administrative support functions for management, which include coordinating office communications, tracking budgets, issuing purchase orders, scheduling, workflow, and processing of office forms. Arranging Travel Accommodations, booking Flights, coordinates, maintains, and creates various events, schedules, and calendars. Assist with developing and implements strategies and process that maximize the productivity of the company’s employees and daily business functions. Assist with processing expense reports, other duties as assigned by Operations Management Team. Candidate will ultimately work with department managers to ensure all administrative tasks are completed to keep the department running smoothly.
Responsibilities:
- Provide administrative support to the team, including managing calendars, scheduling appointments, and coordinating meetings
- Perform data entry tasks and maintain accurate records
- Assist with proofreading documents for grammar, punctuation, and spelling errors
- Handle incoming calls and emails, responding to inquiries or redirecting as necessary
- Coordinate travel arrangements and accommodations for staff members
- Assist with event planning and coordination, including booking venues, arranging catering, and managing RSVPs
- Support project coordination by tracking deadlines, updating project status reports, and communicating with team members
- Manage office supplies inventory and place orders as needed
- Transcribe meeting minutes and distribute to relevant parties
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent proofreading skills with a keen attention to detail
- Exceptional customer service skills with the ability to communicate professionally and courteously
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar
- Experience with QuickBooks or other accounting software is a plus
- Knowledge of event planning principles and practices
- Ability to coordinate multiple projects simultaneously while meeting deadlines
- Accurate data entry skills with a focus on maintaining data integrity
- Proficient calendar management abilities

Job Type: Full-time
Pay: $17.00 - $19.00 per hour
Expected hours: 15.00 – 17.50 per week
