Position Title: Medical Office Receptionist
Position Description:
Advanced Vein Associates is looking for a personable, motivated, and conscientious Medical Office Receptionist to join our team in a full-time position (4 or 5 days per week). We are an independent, single-specialty medical practice that treats patients with venous insufficiency (varicose vein disease), but we are NOT your typical, corporate-owned vein clinic or hospital-based practice.
Our practice philosophy is to offer a high-touch, truly patient-centered experience, with longer appointment times and personalized service for our patients, with commensurately higher expectations of our staff members. We are a small, efficient team with a family atmosphere, where all employees are expected to assist in general tasks (including cleaning the office) in addition to their specialized roles, while exhibiting flexibility and a positive, patient-focused, and "can-do" attitude.
Salary will be dependent on experience, references, and performance during the orientation period. Salary range may be higher for very well-qualified candidates (as net compensation, including 401(k) matching and medical insurance subsidy) or those with additional skills that are helpful to the practice (for example, medical scribing).
Principal Duties
This is a critical position for a small practice, as the candidate will essentially be the face of the practice for our patients. A positive, upbeat personality is required, in addition to the ability to maintain a friendly, engaging, and respectful sense of professionalism throughout all interactions with patients and staff.
Medical Receptionist Responsibilities (not all-inclusive)
- Greet patients and scan ID and insurance cards
- Answer phones and route calls to other staff members, as appropriate.
- Perform patient intake and input/scan demographic information, and update information in the electronic medical record (EMR).
- Schedule office visits, procedures, and ultrasound visits.
- Process incoming and outgoing referrals with outside physician offices.
- Obtain insurance prior authorization for procedures.
- Process payments from insurance companies and patients, and reconciles them with outstanding charges in EMR.
- Maintain a professional office environment.
- Maintain inventory of compression stockings for patients, including processing of new orders and returns.
- Manage data collection (under direction of Physician) for audits or quality measures as required by various organizations and insurers.
- Clean and set-up exam rooms and procedure rooms.
- Perform clerical work associated with consultations and procedures, preparing and organizing charts and consent forms, etc.
- Work with other staff to maintain adequate supply inventory in exam and procedure rooms and general office areas.
- Perform other shared tasks as determined by the Practice.
(Prior experience as a Medical Assistant is preferred, but not required for this position. Candidates will receive training on any additional required tasks for which they do not have experience.)
Education, Experience, Licensure, and other Requirements:
- All candidates may be subject to criminal background screening and drug testing prior to employment.
- At least one year of experience in a medical practice is strongly preferred.
- Proficiency in medical terminology and medications is preferred.
- Fluency in English is required, including writing skills and grammar. Proficiency or fluency in additional languages is desirable, particularly Spanish or Mandarin.
- Medical Assistant experience is preferred, but not required.
- Applicants must be adept at using Microsoft Windows-based computers, including Microsoft Word, Excel, Outlook (email). Experience with EMR software is preferred (Meridian VertexDR).
- Familiarity with medical billing and coding is preferred.
- All staff members must be have proof of vaccinations for COVID-19, Hepatitis B, and annual influenza vaccines.
- This is a 100% non-smoking facility, and applicants must not smoke cigarettes or use vaping/e-cigarette products. Marijuana use is strictly prohibited on the premises.
