Senior Services Administrative Assistant

Reports to: Director of Senior Services
POSITION SUMMARY:
The Administrative Assistant position reports directly to the Director of Senior Services. Responsible for aspects of data collection and analysis, with a focus on program monitoring data, checking incoming data to ensure quality and completeness, and generating reports on new data for program planning and evaluation for all Senior Services units, including Senior Lifeline, Nevada Care Connection, Senior Companion, Foster Grandparent and Holocaust Survivor Services.
Essential Duties and Responsibilities:
· Ensures all Company core values are upheld and modeled.
· Coordinate client waiting lists and vendor contracts.

- Securing and tracking all JFSA equipment assigned to staff in Senior Services
- Develop internal systems for tracking reports as assigned.
- Assists in the development of Standard Operating Procedures for the department.
· Assists with compliance review of client files, grant documents and departmental systems.
· Maintains required documentation for grants and contracts.
· Serves as point of contact/technical assistance for Client Database and generates reports from Client Database upon request.
· Coordinates audio/visual equipment for meetings.
- Records and distributes minutes or other records for meetings.
· Generate reports, create presentations, and conduct research as assigned.
· Provides administrative support to ensure efficient operation of the Senior Service Department
· Performs clerical duties such as (filing, typing, copying, binding, scanning, etc.) and administrative tasks, including managing schedules, drafting letters, memos, invoices, and reports.
- Maintains filing systems as assigned.
· Anticipates the needs of others to ensure their seamless and positive experience.
· Maintains polite and professional communication via phone, e-mail, and mail.
· Works with safety as a priority and follows safety standards.
· Represents the organization with a positive attitude internally and externally.
· Assists with department events, with clients both on and off-site.
· Other duties as assigned.
Required Education and Skills:
- Highschool degree or equivalent
- Minimum two years of administrative assistant experience
- Ability to communicate effectively verbally and in writing.
· Ability to receive and prioritize work assignments from multiple management staff.
· Possess a working knowledge of community resources within the Clark County area.
- Ability to work with individuals from various ethnic/cultural and socioeconomic backgrounds.
· Prior non-profit experience and report preparation are preferred.
· Excellent organizational skills and attention to detail.
· Proficient in MS Office (Excel, PowerPoint, Word, etc.)
· Ability to work effectively without direct supervision and work independently.
· Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents.
· Ability to effectively present information in one-on-one and group situations
· Be highly motivated and well organized.
· Have excellent time management skills.
· Bilingual skills helpful.
Physical Demands: Ability to drive, sit, stand, and walk for extended periods. Ability to perform push/pull movements and to lift 10 lbs.
License or certification:
- Possess reliable transportation and a Nevada Driver’s License
· Ability to pass a background check and drug screening.
Job Type: Full-time
Pay: Up to $44,000.00 per year
