Brief Job Description:
The Operations Administrator reports directly to the Manufacturing Services Manager but also takes functional direction from the Cost Accountant and Area Supervisors. The Operations Administrator supports all operating areas according to the role description below. The primary responsibilities for this role include:
· Financial Data: Ensures accuracy of stated inventory in Oracle.
· Production Data: Responsible for entering material production, usage, and movement transactions into production system (Oracle) daily. Recognizes and resolves problems by working with shift supervision. Assists with production accounting for more than 100 products (over 1,000 unique items).
· People Data: Has no subordinates. Interacts with Production Coordinator, Shipping and Receiving personnel, Lab personnel, Production Operators, Production Area Supervisors, Forepersons, Operations Manager, and Plant Accounting personnel.
Essential Job Functions & Responsibilities
· Enter information from production batch control sheets and other documents into ERP system each day. Verify data entry accuracy and then close related production orders (jobs).
· Check the daily shipping schedule for unresolved materials and contact production supervisors or departments if batch control sheets are not available.
· Maintain, update, and distribute daily production report for the Production Group.
· Scan control sheets to shared drive. Maintain electronic file of all production documents, current year and archived.
· Review control sheets for errors or omissions and resolve problems with shift forepersons.
· Recommend and implement control sheet format changes to reduce repetitive errors. Make minor procedure changes to controlled documents in Word as needed.
· Maintain Control Sheets directory on the plant shared drive. Complete associated assignments in the document change tracking database system (Frontline). Issue new/revised control sheets and archive obsolete documents as directed.
· Maintain Control Sheet review schedule spreadsheet and update the controlled copy on the plant shared drive. Send monthly updates to affected personnel.
· Support month-end inventory process, potentially generating and distributing inventory count sheets, entering counts into the reconciliation file, and entering adjustments in Oracle as directed.
· Assist with annual inventory process as requested.
· Create and release production orders (jobs) as needed.
· Perform ad-hoc reporting as requested.
Knowledge, Skills & Abilities
The Operations Administrator is responsible for daily ERP system data entry for recording inventory production, usage, and movement. Errors are to be minimized by double checking entries and eventually using area and product knowledge to identify and correct errors on control sheets.

Working Conditions
Working in an office environment and interacting with all management/plant employees. Some trips to the plant are required. Work hours must be flexible to work outside of normal hours for month-end activities. Overtime may be required. Vacation must be scheduled around month-end duties.
Education, Training, and Experience Required
· High School diploma/Associate Degree in Accounting or related field a plus.
· Strong Excel skills
· Data entry experience preferred
· Manufacturing system knowledge (Oracle preferred)
· Familiarity with financial accounting is a plus (especially related to inventory, variances, and standard costs)
· Understanding of inventory accounting procedures
