Office Support Assistant
The Narragansett Indian Health Center (NIHC) has an immediate opening for an experienced Office Support Assistant to perform daily office administrative duties to support NIHC business operations. This is a diverse position that requires well established office skills in a fast-paced environment. The ideal candidate must be a hard-working professional able to undertake a variety of office support tasks, multitask, and work diligently under pressure. Must have excellent desk management skills, good judgment, time-management, written and verbal communication skills, and be punctual. Must be conscientious, prompt, timely, and responsible. This person must be comfortable working with a high degree of attention to detail and discretion, as well as, incorporating new and effective ways to achieve better results. The successful candidate will perform a full range of office support activities, including: Computer skills; MS Office applications, QuickBooks and internet, data entry, typing, purchasing, accounts payable, maintaining office supply inventory, answering phones, scheduling, filing & record keeping, collecting, stamping, and delivering mail, assist office manager with oversight of maintenance and supplies for office equipment and facility, travel planning, and other daily general office routines.
Candidate should possess a positive attitude as required in this fast-paced, detail-oriented environment with many deliverables and deadlines. Must be a team player and work well with others. This is a support position with constant interaction with fellow workers. While this is not a medical office position, an understanding of and compliance with Public Health Information (PHI) and HIPAA is required.
Responsibilities
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule and plan meetings and appointments
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Coordinate with others to ensure compliance with established policies
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needed
- Handling incoming calls and other communications.
- Managing filing system.
- Provide information as needed.
- Greeting clients and visitors as needed.
- Updating paperwork, maintaining documents, and word processing.
- Helping organize and maintain office common areas.
- Performing general office clerk duties and errands.
- Organizing travel by booking accommodation and reservation needs as required.
- Coordinating events as necessary.
- Maintaining supply inventory.
- Maintaining office equipment as needed.
- Aiding with client reception as needed.
- Greeting vendors and visitors.
- Managing files.
- Updating paperwork and other documents.
- Performing other general office clerk duties and errands
- Creating, maintaining, and entering information into databases.
Requirements
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
- Working knowledge of office equipment
- Thorough understanding of office management procedures
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Warm personality with strong written and verbal communication skills
- Proficiency in MS Office
Education and other Requirements
- High school diploma/ GED
- 3+ years office experience
- Valid driver’s license
- COVID-19 vaccination
Position is subject to background investigation including FBI fingerprint check and drug screen. Indian Preference in Hiring is practiced, AA/EEO.
